Job Overview
We are a high-quality, patient-focused periodontics and dental implant practice in San Diego seeking a professional, organized, and proactive Treatment Coordinator to join our team.
Our office is small, efficient, collaborative, and systems-oriented. We use Archy as our practice management system and are looking for someone who is comfortable with computers, software, and learning new technology quickly. We value initiative, accountability, excellent communication, and outstanding patient care. We are continually improving our systems and embrace technology to provide an exceptional patient experience.
This role serves as the primary patient care coordinator and plays a key role in patient experience, treatment coordination, schedule productivity, and case acceptance. You will work closely with the doctor, clinical team, and front office to ensure a seamless patient experience from consultation through treatment completion.
We're looking for someone who enjoys building long-term relationships with patients and helping them feel informed, comfortable, and confident throughout their treatment.
The ideal candidate is confident, detail-oriented, calm under pressure, emotionally resilient, and able to guide patients through treatment and financial conversations with professionalism, compassion, and confidence.
Strong communication skills are essential, including the ability to listen carefully, retain details, and respond clearly and accurately without needing repeated instructions. This role requires someone who can take initiative, anticipate needs, and follow through consistently.
Key Responsibilities:
  • Maintain a productive, organized, and efficient schedule.
  • Welcome patients and manage check-in/check-out professionally.
  • Answer phone calls, emails, and text messages promptly and professionally.
  • Coordinate scheduling, treatment, and patient follow-up.
  • Review treatment plans, consent forms, insurance estimates, and financial arrangements with patients.
  • Discuss payment options and collect payments.
  • Help patients move forward with recommended treatment through education and excellent communication.
  • Coordinate communication between patients, insurance companies, and the clinical team.
  • Follow up on unscheduled treatment and overdue recall to maintain schedule productivity.
  • Assist with insurance verification, predeterminations, and other administrative tasks as needed.
  • Use Archy and other digital systems confidently and efficiently to manage patient information and workflows.
  • Identify opportunities to improve workflows and enhance the patient experience.
Responsibilities may evolve as our practice continues to grow and improve.
Required Qualifications:
  • Excellent verbal and written communication skills.
  • Warm, professional, and patient-focused demeanor.
  • Strong ability to listen, retain information, and follow instructions accurately.
  • Comfortable with technology, computers, and learning new software (Archy experience a plus).
  • Typing speed of 50+ WPM.
  • Calm under pressure with strong emotional resilience.
  • Exceptional organization and attention to detail.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Reliable, proactive, and accountable.
  • Strong follow-through and problem-solving skills.
  • Comfortable discussing finances professionally and confidently.
  • Takes ownership, anticipates needs, and looks for solutions rather than waiting to be told what to do.
Preferred Qualifications:
  • Experience in a dental front office, treatment coordination, hospitality, concierge customer service, patient coordination, or consultative sales.
  • Knowledge of periodontics, dental implants, and PPO insurance.
  • Experience with Archy or similar cloud-based dental software systems.
  • Experience presenting treatment plans and discussing patient financing is a plus.
Schedule:
  • Monday-Wednesday: Approximately 7:45 AM-4:30 PM
  • Friday: Approximately 7:45 AM-3:00 PM
