The Operations Coordinator provides support to our field operations team, including safety/risk, warehouse, and operations. This role helps ensure company programs, documentation, reporting, and compliance requirements are effectively maintained and executed.
The ideal candidate is proactive, dependable, and able to balance multiple priorities while supporting the day-to-day needs of the team.
What You'll Do
Training & Development Support
• Assist in the development of training materials.
• Enter and maintain accurate training records.
• Coordinate company training programs, including client-specific programs (e.g., Walmart CADE).
Safety, Compliance & Risk Management
• Coordinate post-accident drug testing, as needed.
• Handle insurance claims at an administrative level.
• Assist with safety and quality control prequalification processes.
• Maintain and update the HSE Manual.
• Support hazardous and universal waste compliance efforts in the field.
• Review contract documents to understand safety and quality requirements during project startup.
• Distribute toolbox talks.
• Maintain signed automobile fleet safety policies.
• Update and maintain ISNetworld (ISN) account information, ensuring compliance with client standards.
• Develop and record voice-over content for training materials.
• Serve as a member of the Risk Management Committee.
• Manage and track 3M medical evaluations to ensure timely completion and compliance.
• Update client software systems with any related compliance documents.
• Manage CDL and DOT driver qualification files.
• Coordinate DOT vehicle and trailer inspections to ensure compliance.
• Schedule and track DOT medical cards and required physicals.
• Pull Motor Vehicle Records (MVRs) and maintain the approved driver list.
• Conduct internal DOT audits in coordination with insurance carrier.
Operations & Field Support
• Manage cloud badging system and support related issues.
• Coordinate iPass program administration.
• Support project closeout by ensuring proper documentation and filing.
• Track and review Procore usage to maintain accurate, complete, and up-to-date project data.
• Enter project manpower requests (MARS) into Procore Resource Planning.
• Conduct initial timesheet review for field crew to support General Superintendents.
Warehouse & Asset Management
• Assist with annual warehouse inventory reporting and audits.
• Distribute and track monthly equipment inventory reports.
What We're Looking For
Education & Experience
  • Associate's degree in Business Administration or related field is preferred. High school diploma is required.
  • 2 years of administrative or operations experience, preferably in construction or a related industry.
  • OSHA 30 certification required within the first 90 days of employment.
  • A valid driver's license.
  • Familiarity with compliance programs (DOT, OSHA, etc) is preferred.
  • Experience with software platforms such as Procore, ISNetworld, or workforce tracking systems is a plus.

Work Environment
  • Work will primarily be performed from the main office and require sitting and/or standing.
  • Occasional travel as driver or passenger to job sites and other work-related meetings will be required.
