Description
JOB RESPONSIBILITIES
• Answer and process all incoming calls. Place calls as necessary to clients, vendors and employees.
• Process incoming business daily.
• Record sales and commissions on an excel blotter.
• Assist with the Financial Consultant's (FC's) daily deposits.
• Process all incoming/outgoing U.S., overnight, and interoffice mail.
• Track FC weekly reporting requirements and maintain chronologically.
• Prepare sales management reports and monthly/quarterly program reports as requested.
• Track all referrals in Microsoft Access database consistent with intranet reporting.
• Maintain Procedures Manual; provide timely editing as necessary.
• Maintain FC's directory/weekly schedule.
• Assist FC's with client inquiries, setting appointments, calendar maintenance, marketing, compliance
and revenue tracking.
• Create and analyze data, collected from different sources, in Excel and Access.
• Possible limited travel to non-OSJ offices for audit preparation.
• Complete all bank and broker/dealer required training.
• Maintain office supplies and organization.
• Image all paperwork in Image Centre.
• Other duties as assigned.
SKILLS/KNOWLEDGE AND ABILITIES/EXPERIENCE
• High School diploma or equivalent with 2 years office experience
• Securities and insurance licenses a plus
• Driver's license required
• Excellent oral and written communication skills
• Must be proficient with all components of Microsoft Office, internet and email
• Experience with contact management systems preferred
• Excellent organization skills, detail-oriented and data entry accuracy
• Good interpersonal/customer service skills
• Able to prioritize multiple tasks, work independently and meet deadlines
