Description
Under general supervision, performs highly responsible and varied administrative work that permits some choice of procedures and some independence of actions in the disposition of routine matters, as it related to the Workforce Services, Kankakee Community College (KCC) and the One Stop partners.
Examples of Duties
A. Serves as a primary administrative assistant for the North Extension Center (NEC) and Workforce Services. Performs front-line customer service duties; answers the college's phone line and assists callers accordingly, greets visitors and clients to the North Campus, distributes incoming mail, arranges appointments, schedules room reservations and related activities; and may disseminate department or institution information. Provides general non-technical information as requested; and assists individuals with directions to classrooms, meeting locations, or offices, includes signage for events.
B. Assists clients with job seeking skills, including resume and cover letter development. Provides access to internet resources to aid clients in educational planning and job searches. Directly assists customers in the usage of Illinois workNet, Illinois JobLink and with the use of career development and job search resources. Maintains the office job board.
C. Contacts individuals that inquire about the program, collects applications and documentation, initiates reminders for missing documentation or workshops, to enhance attendance and enrollment.
D. Tracks partner referrals amongst One Stop partners; accepts, transfers, documents and follows up on all referrals. Reports activities quarterly.
E. Administers sign in process for all attendees of the NEC/One Stop Center. Enters client information into the state data tracking system to track client activities for quarterly reports requested by the Workforce Board and State of Illinois.
F. Assesses whether clients need basic reading and/or math assessments. Manages, schedules and proctors those, if necessary.
G. Assists in the collection, organization, and summation of college surveys including customer satisfaction surveys for all One Stop Center attendees.
H. Performs duties using data processing, data entry, and other computer systems and software. May take and transcribe brief dictation, and minutes of meetings.
I. Attends appropriate state data tracking system, One Stop, and Workforce Services professional development courses.
J. May prepare reports for the Workforce Services and outreach to Kankakee County residents and employers through website and social media. Assists with writing press releases, online newsletters, designing flyers, and developing social media campaigns. Captures and reports website and social media metrics. Assists in executing the outreach plan and provides input on further outreach strategies.
K. Replenishes supplies, flyers at NEC, as needed.
Minimum Qualifications
A. High school diploma or equivalent with ability to read, write, perform basic arithmetic, and follow verbal and written instructions required; additional specialized and technical training courses preferred.
B. At least one to three years of related work experience required.
C. Computer experience using Microsoft Office or comparable applications required. Able to use the telephone, voicemail, and email; able to manage files and perform basic functions with the current operating system; able to create, format, edit documents and spreadsheets; able to merge documents; able to create and use labels with envelopes; able to create, format, and edit tables, graphs, and charts.
D. Excellent customer services skills required.
E. Excellent oral and written communication skills required.
F. Demonstrated proficiency in English required.
G. Ability to communicate in other languages desirable.
H. Proficiency with multiple forms of social media desirable.
Supplemental Information
Hiring range: $16.13/hr. min. - $17.74/hr. 1st quartile - $19.35/hr. mid.
Position is located at KCC's North Extension Center in Bradley.
Hours are: Monday - Friday from 8:00 a.m. - 5:00 p.m.
