Job description

Integration Charter School is dedicated to providing innovative pathways to college that fully integrate students living with emotional challenges and others with special needs. In building a family of associated schools that share this common mission, ICS strives to fill gaps in public education. When fully realized, ICS, in conjunction with local public schools, will provide Staten Island parents of special needs children with an array of options which is richer than that enjoyed by any other community in the United States.
Summary
Reporting to the School Principal with a dotted line to the Managing Director of Operations and/or his/her designee, the operations associate will serve as the direct point of contact for families and assist in the overall operational tasks of the school. As the backbone of the school, operations hands all matters non-instructional. The individual in this role will work in a fast-paced, school-based operations environment. .
Responsibilities
  • Assist in setting a high-standard of operational excellence throughout the school building.
  • Assist in the creation of school operational systems and structures that support the smooth operation of the school.
  • Assisting with the student registration process, including schoolmint, collecting documents, making phone calls.
  • Support all recruitment efforts.
  • Answering phone calls, taking messages, placing outgoing calls, and sending mass communications when delegated.
  • Initiate and track office supply orders.
  • Maintain accurate records of all orders and inventory of supply closets.
  • Develop process plans for events, as directed by school leadership and/or network operations team. Example: Open Houses, Graduations, Student Events
  • Coordinate/manage data analysis and reporting.
  • Coordinate/manage all student transportation. Create, distribute, and organize a daily student bus check in & out, metro cards, bussing and door to door bussing.
  • School Calendars maintained for OPT Website & Google Calendar for each school
  • Ensuring memos, notices, and other school-specific documents are delivered, collected from classrooms and processed daily.
  • Assisting operations team with special/time-sensitive projects throughout the year, including but not limited to:, school year startup, assemblies, and end of year closeout
  • Helping to create a warm, nurturing and professional school culture.
  • Maintaining school systems and files: ATS, PowerSchool, Schoolmint, Parent Square, Scholarchip and OPT
  • Coordinate PTO coverages & lunch coverages
  • Maintain compliance for Immunizations
  • Performing additional duties as designated

Competencies & Qualifications

  • Bachelor's degree, preferred.
  • Strong written and verbal communication skills.
  • High degree of organizational skills; detail-oriented with ability to follow through in a fast-paced environment
  • Thorough understanding of best practices within school-based operations.
  • Understanding of school student-achievement data and New York Charter School Standards
  • Ability to use tech platforms such as Kickboard, PowerSchool, Google Drive to track data and communicate effectively with the school community
  • A deep belief that every child can succeed, and a willingness to uphold high expectations for students, staff, and oneself to ensure that students are set up for success
  • Ability to model social-emotional skills such as, willingness to take feedback, hear new perspectives, and try new things in support of student growth
