Commercial HVAC Estimator / Preconstruction Specialist

Position Overview

We are seeking a highly capable Commercial HVAC Estimator / Preconstruction Specialist to support a growing pipeline of commercial work. This role is responsible for building accurate, competitive, and executable estimates; coordinating vendor and subcontractor pricing; reviewing plans, specifications, and addenda; and improving the speed, consistency, and quality of the estimating process. The ideal candidate is technically strong, process-driven, comfortable using AI and digital tools to refine workflow, and capable of supporting a high-output bid environment without sacrificing accuracy, margin discipline, or clean turnover to operations.

Core Responsibilities
  • Review project plans, specifications, blueprints, schedules, and addenda to develop accurate cost estimates for commercial HVAC systems and related scopes.
  • Perform takeoffs and pricing for equipment, ductwork, sheet metal, controls coordination, TAB coordination, startup/commissioning support, permits, crane/lift needs, and subcontractor scope where applicable.
  • Analyze labor, material, equipment, subcontractor, and general conditions costs to build competitive bids that align with scope and margin expectations.
  • Coordinate with vendors, subcontractors, project managers, sales, and field leaders to validate constructability, pricing, lead times, scope gaps, and execution feasibility.
  • Prepare proposals, clarifications, exclusions, alternates, and value-engineering options with clear scope language and professional presentation.
  • Use AI and digital estimating tools to accelerate takeoffs, troubleshoot scope questions, compare bid scenarios, improve proposal refinement, and reduce bid cycle time.
  • Continuously refine templates, pricing libraries, assemblies, workflow standards, and estimating SOPs to improve consistency, speed, and accuracy.
  • Participate in bid review and turnover meetings to document assumptions, exclusions, labor strategy, risk items, and handoff requirements for operations.
  • Conduct site walks or field verification when needed to assess project conditions and improve pricing confidence.
  • Stay current on HVAC systems, software tools, manufacturer updates, pricing trends, local code requirements, and market conditions.

  • Strong Excel, Word, Outlook, and digital organization skills, with clear communication and strong attention to detail.
  • Working knowledge of local codes, industry standards, and safety requirements that impact commercial HVAC pricing and installation.
