Job Title: Bilingual HR Administrative Assistant

Job Description: This organization is seeking a Bilingual (Spanish/English) HR Administrative Assistant to support the Human Resources department and a member of the senior leadership team. This role acts as a key point of contact for staff and visitors, providing administrative and clerical support across recruiting, employee records, and day-to-day HR operations. The ideal candidate is patient, detail-oriented, and comfortable managing sensitive information in a fast-paced, people-focused environment.

Key Responsibilities:

  • Support the recruiting team with interview scheduling and pre-employment testing coordination
  • Handle data entry and document scanning for the applicant tracking system
  • Conduct reference checks and employment verifications
  • Follow up with new hires to ensure onboarding paperwork is complete
  • Maintain and organize personnel files, including retention and secure disposal per policy
  • Prepare offer letters and assemble new hire documentation
  • Guide applicants and staff through the internal application process
  • Track and report on the employee referral program to the Finance team
  • Serve as front-line support for the HR department, including answering phones and routing inquiries
  • Prepare monthly compliance reporting
  • Assist with gathering documentation for HR audits and internal requests
  • Update and maintain electronic and paper employee records
  • Support employees with HR-related record change requests
  • Communicate with staff via internal HR systems
  • Perform additional HR support duties as needed

Qualifications:

  • High school diploma required; actively pursuing or holding a degree in HR, Business, or a related field preferred
  • Minimum 1 year of related administrative and/or HR experience
  • Must be bilingual in Spanish and English (read, write, speak)
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook); ADP experience a plus
  • Strong multitasking and organizational skills with high attention to detail
  • Ability to handle confidential information with discretion and professionalism
