General Description
The purpose of this position is to provide quality customer service and administrative support to the Department of Human Resources by performing specialized, self-governing duties requiring basic knowledge of HR laws, computer skills and specialized software knowledge, and the application of judgment and discretion based on University policy, and federal and state laws.
Essential Job Duties
  1. Manage the department's daily operations, including greeting and attending to visitors, responding or directing telephone/electronic inquiries, scheduling meetings, and coordinating logistics for new employee orientations.
  2. Create and maintain employee personnel files, ensuring appropriate content as required by federal and state laws as well as University policy; perform periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately; process new employee identification requests and terminations.
  3. Utilize Microsoft Word and Excel to complete reports and mail merges for mailings; create and maintain Argos reports as needed; enter data in Banner HR as requested and ensure compliance with Banner Data Standards when entering data.
  4. Support internal and external inquiries and requests related to the HR department; provide general information, including applicant information and instructions relating to PeopleAdmin software; complete employment verifications and other forms as requested.
  5. Order materials, equipment, and supplies, process requisitions, requests for payment, travel reimbursement documents and forms, and employment advertisement payments.
  6. Schedule maintenance for equipment that falls outside the realm of campus technology services.
  7. Assist the Director as needed and other HR staff members with special projects, events, retirement celebrations, and related activities; provide support for HR-related training programs and workshops.
  8. Collect, sort, and distribute mail to staff members.
  9. Oversee the On-The-Job Injury program, including processing claims with the State of Alabama Board of Adjustment or third-party vendor. Provide instructions and guidance to employees and supervisors regarding timesheet/leave reporting related to OJIs. Complete requests for payment in order to expedite payment to employees.
  10. Prepare personnel action forms for submittal; apply completed personnel action forms to employment records as needed.
  11. Respond to routine questions and/or requests regarding claims, benefits, and other HR matters.

Additional Duties

Knowledge, Skills and Abilities
  • Basic knowledge of HR laws and compliance requirements
  • MS Excel, MS Word, and Data Base skills;
  • Basic knowledge of the University's HRIS/Banner system;
  • Ability to organize, multi-task, and prioritize;
  • Fine attention to detail;
  • Ability to recognize and protect confidential information;
  • Ability to communicate effectively both orally and in writing;
  • Strong customer service skills;
  • Proficient user of office equipment, including copiers, printers, etc.
  • Experience answering multi-line phone systems and directing calls as appropriate.

Education and Experience
High School Diploma is required. An Associate's Degree or two years of college experience is preferred.

This position requires: 3 years of related experience. Office management experience preferred. Experience using Banner HRIS system and/or work experience in a human resources department is preferred.
