Exostar is looking for a detail-oriented HR Administrator & Recruiting Coordinator to join our HR team. This role is central to keeping our people operations running smoothly — from the moment a candidate enters our pipeline to their first day and beyond. You'll own key administrative and coordination workflows, support compliance-sensitive onboarding, and serve as a reliable resource for employees and hiring managers alike. This role will require 3 days in the Herndon office.

Responsibilities: Your day if you join us:

What You'll Do:

Onboarding & Employee Lifecycle

  • Assist with the new hire onboarding process end-to-end, including orientation facilitation and offboarding coordination
  • Coordinate and administer background checks and reference checks for Trusted Role candidates
  • Support compliance-sensitive onboarding workflows and Trusted Role activities
  • Maintain and continuously improve onboarding documentation and process guides

HRIS & HR Administration

  • Maintain accurate employee data in the HRIS and support periodic audit activities
  • Process invoices, manage the HR P-Card, and handle employment verification requests
  • Draft and respond to HR correspondence, maintain HR policy and guidebook documentation
  • Assist with managing Service Award, and recognition programs
  • Order bereavement arrangements and HR-related merchandise as needed

Employee Engagement & Programs

  • Assist in planning and coordinating HR events including open enrollment, lunch & learns, team engagement activities, and management programs
  • Support training logistics and cross-functional HR program delivery
  • Contribute to special projects and other duties as assigned to include office management or Executive Assist back-up tasks as needed

Qualifications: You are a great fit for this role if you;

  • Bachelor's degree in human resource or related field
  • Must pay strong attention to detail and take initiative to improve processes
  • Able to multitask, prioritize deadlines and work with minimal supervision
  • Able to maintain and manage confidential information
  • Understanding of human resources policies and procedures
  • Strong analytical and problem-solving skills
  • Strong interpersonal, written, and verbal communication skills

Location: Herndon, VA (Hybrid 3x/week)

Preferred Qualifications: You are exactly who we are looking for if you have:

  • Previous experience with UltiPro and NetSuite a plus
  • Proficient in Microsoft Office tools including Word, PowerPoint and Excel
