Description
Hughes & Coleman Law Firm (H&C) is a growing plaintiff firm practicing personal injury law. Founded in Bowling Green, Kentucky, H&C has Kentucky offices in Louisville, Elizabethtown, and Lexington as well as in Tennessee; Nashville, Clarksville, Murfreesboro, Columbia, and Gallatin. The Firm currently employs approximately 160 team members. The Hughes & Coleman culture is proudly molded around exceeding the expectations of the Firm's clients through extraordinary service.
Summary
The Legal Secretary is primarily responsible for carrying out tasks assigned by the attorney including setting up new client files, generating correspondence, maintaining attorney's schedule, requesting documents, and must have the ability to juggle priorities. This position will sit at the front desk and have Front Desk Coordinator duties as well.
Essential Functions
  • Follow practices and processes that comply with appropriate laws and regulations, meet the company standards, and serve the needs of our clients. This includes a commitment to a process of continuous improvement.
  • Comply with company policies and procedures
  • Balance multiple priorities and deadlines simultaneously
  • Perform general secretary duties:
    • Generate form letters
    • Enter police report information
    • Enter insurance information
    • Prepare letters to insurance companies
    • Confirm demand package receipt with adjuster
    • Confirm liens
  • Complete items assigned on the checklist
  • Set up new client claims with the insurance company
  • Schedule legal appointments as directed by the attorney
  • Proofread and make grammatical and spelling corrections on legal forms
  • Schedule attorney's client calls
  • May back up clerical support for Administrative Clerk
  • Prepare correspondence in support of the Legal Assistants' work
  • Perform other duties within the employee's training and skills as directed by Core Leader

Competencies and Skills
  • High School Diploma or equivalent education/experience required
  • One year experience in office work
  • Proficient in Microsoft Office Products, as applicable
  • Ability to communicate effectively orally and in writing
  • Highly organized with excellent follow up skills
  • Ability to professionally multi-task and meet multiple deadlines simultaneously
  • Respectful and provides a trustworthy source for clients, vendors, and coworkers
  • Reliable and dependable in performing job-related tasks, finishing assigned projects, meeting deadlines and appointments
  • Strong attention to detail and accuracy
  • Self-motivated and driven to begin and complete tasks

Leadership or Supervisory Responsibilities

  • No direct supervision responsibilities

Physical Demands, Work Environment and Other Requirements
  • Valid Driver's License and Insurance
  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at times, i.e. lifting reams of paper
