We are seeking an experienced, customer-focused, and results-driven Retail Parts Manager to lead our Parts Department. This individual will be responsible for ensuring the efficient operation of retail parts sales, inventory management, purchasing, and customer service while developing a high-performing team dedicated to exceeding customer expectations.


Position Summary

The Retail Parts Manager is responsible for the overall management of the Parts Department, including retail and wholesale parts sales, inventory accuracy, purchasing, vendor relationships, pricing, profitability, and customer satisfaction.

This position provides leadership to the Parts Department team while working closely with Service, Sales, Rental, and Operations to ensure parts availability and efficient business operations.

The ideal candidate possesses strong leadership skills, inventory management expertise, financial acumen, and a passion for delivering exceptional customer experiences.


Essential Responsibilities

Department Leadership

  • Lead, coach, mentor, and develop Parts Department personnel.
  • Foster a culture focused on accountability, teamwork, urgency, and customer satisfaction.
  • Conduct regular employee coaching, performance evaluations, and development planning.
  • Participate in hiring, onboarding, training, scheduling, and disciplinary actions when necessary.
  • Establish measurable departmental goals and Key Performance Indicators (KPIs).
  • Promote a safe, organized, and professional work environment.

Parts Sales & Customer Service

  • Manage daily retail parts sales operations.
  • Ensure customers receive prompt, accurate, and professional service.
  • Assist customers in identifying the correct replacement parts.
  • Resolve customer concerns quickly and professionally.
  • Maintain strong relationships with key customers and suppliers.
  • Oversee special orders and ensure timely communication with customers regarding order status.

Inventory Management

  • Maintain accurate inventory levels while maximizing inventory turns.
  • Forecast inventory demand based on historical usage and business trends.
  • Monitor stocking levels to minimize shortages and excess inventory.
  • Conduct regular cycle counts and annual physical inventories.
  • Maintain inventory accuracy through proper receiving, labeling, storage, and issuing procedures.
  • Investigate and resolve inventory discrepancies.
  • Manage obsolete inventory reduction initiatives.
  • Ensure inventory is properly organized and stored.

Purchasing & Vendor Management

  • Source parts from approved vendors.
  • Negotiate pricing, availability, and delivery schedules.
  • Monitor supplier performance regarding quality, pricing, and lead times.
  • Ensure purchase orders are accurate and processed timely.
  • Manage backorders, credits, returns, and warranty claims.
  • Maintain strong vendor relationships.

Financial Management

  • Manage departmental gross profit margins.
  • Develop pricing strategies that maximize profitability while remaining competitive.
  • Monitor departmental expenses.
  • Review purchasing trends and identify cost-saving opportunities.
  • Analyze inventory carrying costs and recommend improvements.
  • Prepare departmental reports and performance metrics.

Operational Excellence

  • Collaborate with Service Department personnel to ensure parts availability for scheduled repairs.
  • Coordinate with Sales and Rental Departments regarding equipment preparation.
  • Ensure all received parts are inspected for quality and accuracy.
  • Process damaged or incorrect parts immediately.
  • Maintain pending credits at zero whenever possible.
  • Monitor outstanding purchase orders and follow up with vendors as needed.
  • Ensure all departmental procedures are consistently followed.

Essential Job Functions

  • Forecast parts demand and maintain appropriate inventory levels.
  • Order, receive, inspect, store, and distribute replacement parts.
  • Monitor inventory accuracy through routine cycle counts.
  • Maintain accurate inventory records using the dealership management system.
  • Price parts appropriately to achieve profitability objectives.
  • Track outstanding orders, backorders, returns, and credits.
  • Maintain clean, organized storage locations.
  • Prepare inventory and sales reports.
  • Support company initiatives to improve operational efficiency.
  • Assist with branch inventory transfers when necessary.
  • Travel to other company locations as required.
  • Perform additional duties assigned by management.

Qualifications

Required

  • Minimum five (5) years of Parts Department experience.
  • Minimum three (3) years of leadership or supervisory experience.
  • Strong inventory management experience.
  • Experience with dealership management systems or ERP software.
  • Excellent organizational and problem-solving skills.
  • Strong computer proficiency, including Microsoft Office.
  • Excellent verbal and written communication skills.
  • Ability to prioritize multiple tasks in a fast-paced environment.

Preferred

  • Material handling, heavy equipment, construction equipment, agricultural equipment, or automotive dealership experience.
  • Forklift industry experience.
  • Experience managing multiple locations.
  • Inventory planning and forecasting experience.

  • Ability to work in both climate-controlled office areas and warehouse/shop environments.

Work Environment

This position regularly works in both an office environment and a warehouse/shop setting. Exposure to moving equipment, forklifts, noise, dust, and varying temperatures may occur. Appropriate personal protective equipment (PPE) must be worn when required.

The Retail Parts Manager is responsible for promoting and maintaining a safe workplace by complying with all OSHA regulations and HTX Material Handling safety policies. Employees are expected to report unsafe conditions immediately and actively participate in maintaining a safe working environment.
