Middle School Receptionist

Description

Summary of Position: The Middle School Receptionist is the primary point of contact for the middle school office. Key areas of responsibility include daily attendance accuracy and tracking, front desk and parent communication, general student support, campus parking coordination, and office and event support.

Hours of Work : Full-Time Year Round, (6.5 hrs/day, 32 hours/wk) Monday – Friday

Positions Classification : Non-Exempt

Reporting Relationship : Principal / Vice Principal

Duties & Responsibilities:

  • Tracks attendance according to the school's attendance policy
  • Ensures the accuracy of attendance by period
  • Record all attendance immediately on the day of the absence or tardy
  • Creates and maintains a shared document tracking excessive absences and tardies
  • Updates attendance records using tardy slips
  • Communicates with the principal regarding any student with an extended absence (illness, injury, or unknown), providing the student's name, grade, and parent contact information so the principal can follow up directly
  • Answers calls and emails from parents
  • Sends mass emails to students or parents on behalf of a teacher, administrator, or staff member
  • Sends emails to faculty at the request of the administration
  • Supervises in-school suspensions
  • Distributes forms to students, teachers, and parents that cannot be found online
  • Creates log entries for teachers, as needed
  • Completes help desk requests for teachers and administration
  • Supplies teachers with classroom supplies as needed
  • Creates certificates for teachers/coaches for school- or sports-related recognition
  • Distributes and sells yearbooks
  • Creates spreadsheets for the office, administration, and teachers
  • Helps coordinate ticket sales for dances, in support of ASB
  • Collects locks at the end of the year and distributes locks at the beginning of the year
Qualifications
  • High school diploma or equivalent required; some college coursework preferred.
  • Prior office, receptionist, administrative assistant, school office, or customer service experience preferred.
  • Ability to communicate clearly, calmly, and professionally with students, parents, faculty, staff, and administrators.
  • Strong organizational skills and attention to detail, especially when managing attendance, records, forms, student information, and parent communication.
  • Ability to maintain confidentiality regarding student records, family information, discipline matters, attendance, and other sensitive school information.
  • Ability to manage multiple tasks in a busy school office environment while remaining calm, welcoming, and professional.
  • Basic computer proficiency, including email, spreadsheets, document creation, data entry, and school information systems.
  • Experience with PowerSchool or similar student information systems preferred.
  • Ability to follow established school policies, attendance procedures, safety protocols, and administrative directions.
  • Ability to exercise good judgment when assisting students, responding to parents, handling phone calls, and escalating concerns to administration.
  • Dependable attendance and punctuality are required.
  • Ability to work collaboratively with office staff, teachers, administrators, students, parents, and other departments.
