Why does the job exist?
This position will supervise, manage and oversee the job functions of the Imaging Unit. It is a critical part of the Tax Pipeline Bureau responsible for Imaging Business Machines LLC (IBML) paper document scanning into GenK and GenTax. This position is also responsible for the division's imaging programs through design, development, reporting and testing of jobs to ensure accurate processing of returns. This position serves as the division's liaison with the Information Technology (IT) group to ensure that all interactive systems are functioning correctly.
How does it get done?
This position will be responsible for:
- Managing daily paper scanning operations; resolving daily issues as they come up; resolving scanning issues that occur due to prep and/or equipment issues.
- Checking/monitoring Structured Query Language (SQL) database batch status three (3) times per day and changing statuses as required.
- Creating and emailing the Daily Scanned Batches Image report to Revenue Processing and Data Capture units.
- Creating and emailing other specialized reports as required.
- Acting as the primary contact and liaison between Revenue Processing Division, Information Technology Division, GenTax and Imaging Business Machines LLC (vendor).
- Collaborating with Information Technology Developers to accomplish testing as required for new tax year forms, barcodes, vendor testing and new imaging programs for GENK.
- Appropriately utilize time and resources to meet all daily operations and deadlines.
- Devoting a substantial portion of time assigning and directly supervising work of the Imaging Unit personnel. The most challenging aspects of this position:
- Managing staff and monitoring workload to reduce or zero out daily backlog to complete work timely and efficiently.
- Continually strive to improve Bureau processes, procedures and quality of work

This position serves the State of New Mexico Taxpayers, Drivers, Courts, Taxation and Revenue internal customers and other State Agencies.
Ideal Candidate
The Ideal Candidate will have experience/knowledge in:
- Devoting a substantial portion of time to assigning and directly supervising the work of at least two (2) full-time equivalent employees.
- High School diploma or Equivalency and two (2) years of experience
- Document Imaging in a production environment
- Utilization of Imaging applications and equipment
- Creation of new production jobs within imaging applications
- Process monitoring and reporting
Minimum Qualification
Associate Degree in Business Administration, Public Administration, or Accounting and two (2) years of directly related job experience operating within parameters and guidelines in the areas of office administration, budgeting, purchasing, finance, accounting, auditing, cash management, contract management, and/or in the procedures of business and management principles involved in strategic planning. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling four (4) years may substitute for the required education and experience.
Employment Requirements
Must possess and maintain a valid Driver's License. Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification within six (6) months of date of hire as a condition of continued employment. Must be current with all tax reporting/payment. Employment is subject to post offer pre-employment criminal background check to include fingerprint checks and is conditional pending results.
Working Conditions
Work is performed in an office setting, exposure to Visual/Video Display terminal (VDT) and extensive personal computer and extended periods of sitting. Must be able to lift 25lbs. Meet deadlines with severe time constraints, interact with other workers, irregular or extended work hours, ability to stand for moderate periods of time, moderate walking, repetitive finger motion, good hand/finger dexterity, ability to hear conversations in a quiet/noisy environment, visual acuity.
