Job description

The Receiving Clerk is responsible for the accurate receipt, inspection, and processing of all incoming food, beverage, alcohol, and general merchandise deliveries. This role ensures that all products are verified against purchase orders and invoices, received in accordance with company standards, and stored safely and efficiently to maintain product quality and inventory accuracy.

Reporting to the Area Director of Finance, the Receiving Clerk is responsible for entering vendor invoices into the inventory and accounting systems, maintaining accurate receiving documentation, and supporting inventory control processes. This position plays a key role in safeguarding company assets by ensuring all deliveries are properly documented, handled, and stored in compliance with food safety, sanitation, and company policies.

The Receiving Clerk works collaboratively with the Purchasing, Finance, Culinary, Food & Beverage, and other hotel departments to maintain effective inventory controls, ensure timely distribution of goods, and support efficient hotel operations. A successful candidate will demonstrate strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced hospitality environment while maintaining a clean, safe, and well-organized receiving area.

  • Refined verbal and written communication skills.
  • Receive, inspect and verify all incoming deliveries against purchase orders and delivery documentation.
  • Check goods for quantity, quality, damage, temperature and expiry dates where applicable.
  • Record deliveries accurately in the hotel's purchasing and inventory systems.
  • Report discrepancies, damaged goods and incorrect deliveries promptly.
  • Ensure all goods are labelled, stored and distributed to the correct department.
  • Maintain a clean, secure and well-organized receiving and storage area.
  • Assist with stock rotation and ensure first-in, first-out practices are followed.
  • Support inventory counts, stock takes and reconciliation processes.
  • Maintain accurate receiving records, invoices and supporting documentation.
  • Coordinate with suppliers and internal departments to resolve delivery issues.
  • Assist with the movement of goods throughout the hotel.
  • Support cost control by helping reduce waste, loss and stock discrepancies.
  • Follow hotel security procedures for all deliveries and contractor access.
