Job description

Position Overview

The Supervisor of Hospital Services oversees the daily activities of the Hospital Services department. Responsibilities include providing administrative support, training, technical guidance, and supervision to the Hospital Services staff. Good customer services skills and teamwork are required for this position. The Supervisor of Hospital Services will assist in developing procedures, validations, and policies as needed.

Essential Functions

Organizational Responsibilities:

  • Understands and supports the quality goals of the company
  • Adheres to the organization’s Quality Plan and Quality Essential Process Description

Administrative Duties:

  • Supervises, coaches, and trains Hospital Services staff
  • Provides input regarding staff performance and evaluations
  • Directs workflow of Hospital Services department and assures communication between shifts
  • Assures completion of duties by staff members
  • Assists in developing and overseeing the implementation of polices, process descriptions, standard operating procedures, training plans, and validation protocols
  • Assists in reviewing records
  • Assists in maintaining appropriate levels of supplies and materials needed for hospital services and component manufacturing departments

Personnel-related Responsibilities:

  • Participates in hiring qualified personnel
  • Evaluates personnel performance in terms of job accountabilities, objective measures, and pre-defined standards
  • Coaches, counsels, and disciplines personnel as required
  • Orients new staff to department and job specific knowledge
  • Trains staff to meet individual needs, regulatory and accreditation requirements, and the changing needs of the company
  • Retrains as necessary

Hospital Services Tasks:

  • Aids in training of staff in the Hospital Services department
  • Performs modification procedures of blood products as needed (irradiation, washing, freezing, etc.)
  • Performs QC/maintenance for all equipment used in the Hospital Services department
  • Ensures that all orders are filled and delivered in a timely manner
  • Performs all procedures for the shipping and receiving of blood components
  • Assists in inventory management and stock rotation of blood and blood components
  • Provides support to hospital blood banks served by The Blood Connection

Documents and Record Management:

  • Ensures procedures and forms are uniform and adhere to the organization’s document control directives
  • Complies with the organization’s document control directive in terms of uniformity of design and layout; document approval and use; avoidance of antiquated documents; archiving of replaced documents; and document storage, retention, and retrieval
  • Ensures records are generated according to instructions in related procedures, and those applicable regulatory requirements and accreditation standards are met in terms of record review, retention, and storage

Miscellaneous:

  • Practices good customer service relations with co-workers, clients, and the general public
  • Produces accurate, precise, and legible documentation
  • Maintains a clean and orderly work area
  • Other duties as assigned or required

Minimum Qualifications

  • High School Diploma or GED with six years’ experience in:
  • Associate’s Degree MLT, BSMT (ASCP), or BS/BA in Biological Science strongly preferred
  • Valid Driver’s License with no major infractions and dependable transportation
  • Ability to communicate effectively, tactfully, and courteously to patrons, donors, sponsors and co-workers
  • Ability to organize and prioritize workload and meet deadlines
  • Excellent analytical, organizational, interpersonal, verbal, and written communications skills
  • Strong computer skills including intermediate skill level with Microsoft Word, Excel, and PowerPoint
  • Ability to work with all levels and in a diverse work environment 
  • Ability to establish and maintain effective working relationships with staff, management, and peers
  • Ability to exercise discretion on sensitive and confidential matters
