Job description

Baylor Scott & White Medical Center - Sunnyvale is seeking a Supply Chain Director who will be responsible for the coordination of the materials management system throughout the hospital with regards to procurement, processing and distribution of materials and services. This system should meet or exceed the requirements of the hospital and be accomplished at the most favorable cost.

Key Responsibilities:

  • Develops policies and procedures in the areas of procurement, inventory control, receiving and storage and distribution throughout the hospital.
  • Coordinates productive hours, space, equipment and expense as they relate to materials and services contracts.
  • Provides administrative support to the Chief Financial Officer in the form of reports, budgets, supply utilization analysis and capital expenditure management as requested.
  • Reviews, evaluates and approves all purchase orders.
  • Reviews, evaluates and approves all requests for non-stock purchases prior to procurement.
  • Maintains good interdepartmental and intradepartmental relationships by providing the highest level of services, management assistance and open communication.
  • Interfaces directly with all departments in the hospital with regards to materials that have been requested to ascertain specifications and need.
  • Provides information and education to assist department directors with corporate contract compliance goals.
  • Is essential in the involvement of all aspects and functions of the department.
  • Maintains adequate supply levels throughout the hospital, utilizing the Pathways Materials Management computer system.
  • Reviews all PAR level utilization.
  • Develops department staff via ongoing inservice education, on-the-job training, evaluations and open departmental meetings.
  • Negotiates and acts as the contact person for all purchase agreements with the various distributors for materials that may or may not be addressed by a group purchasing organization.
  • Interviews sales representatives and reviews vendor performance data in relation to overall service rendered.
  • Coordinates all activities of the Central Supply area, with the exception of sterilization procedures and personnel.
  • Solicits proposals from various manufacturers and distributors for all supplies and equipment throughout the hospital, with the exception of pharmaceuticals and dietary products.
  • Coordinates the maintenance of the computer software program.
  • Assists all department directors in the budget process, which includes operating and capital budget preparation and maintenance.
  • Arranges for financing or extended payment plans for capital equipment procurement and services with the various manufacturers and distributors, as delegated by the CFO/Administration.
  • Coordinates the maintenance of supplies in the hospital in emergency situations and maintains sources of emergency supply items from other health facilities and vendors.
  • Ensures that the Materials Management Department follows established safe practices for receiving hazardous substances.
  • Assists department directors in obtaining Material Safety Data Sheets on all hazardous materials used in the hospital.
  • Coordinates leases for various large ticket items.
  • Coordinates market trend studies.
  • Performs all additional tasks as assigned by the CFO, Administration or HMA Support Services.

Qualifications:

  • Bachelor's Degree with emphasis on business administration, economics or a related field desired. Master's degree preferred.
  • Experience may be accepted in lieu of a college degree.
  • At least five (5) years of experience as Materials Management Director in the healthcare environment.
  • Knowledge of JCAHO and state regulations for acute care facilities.
  • Ability to work with physicians in a collaborative manner.
  • Top level manager preferred, but may consider promotable candidate.
  • Ability to communicate effectively in English, both verbally and in writing.
  • Additional languages desired.
  • Basic computer knowledge. Knowledge of McKesson HBOC Pathways Materials Management system desired.
