Our FDA 510(k)-cleared Dreem EEG headband and AI algorithms enable quantitative biomarker discovery and implementation. Beacon's Clinico-EEG database contains EEG data from nearly 100,000 patients, and our cloud-native analytics platform powers large-scale RWD/RWE retrospective and predictive studies. Beacon Biosignals is changing the way that patients are treated for any disorder that affects brain physiology. 

What you will be doing:

We are looking for a highly organized, proactive Office Coordinator for our Cleveland office. This role is the connective tissue of our day-to-day operations - keeping the office running smoothly, supporting our marketing team through a busy tradeshow calendar, and taking ownership of several functions that are critical to the team's efficiency and growth.

This is a hands-on, in-person role ideal for someone who thrives on variety, takes pride in building order from complexity, and genuinely enjoys being the person others rely on.

Beacon's robust asynchronous work practices ensure a first-class remote work experience, but we also have in-person office hubs available located in Cleveland, Boston and New York. This role is required to work from the Cleveland office 5 days a week. 

What success looks like:

This role involves working across a few business needs.

Front Office & Facilities Management
  • Oversee day-to-day operations for the Cleveland facility, maintaining a professional and welcoming environment
  • Serve as the primary point of contact for visitors
  • Coordinate internal meetings and small office events
  • Act as the primary liaison with building management and external vendors
Tradeshow & Event Coordination

The sales team participates in 25-30 trade shows annually, often with overlapping events. You'll own end-to-end logistics, including:

  • Outreach and relationship management with key tradeshow contacts
  • Company and attendee registration
  • Booth logistics and shipment coordination
  • On-site support coordination for Sales representatives
  • Post-event lead tracking to drive customer engagement and pipeline growth
Materials Receiving & Process Coordination
  • Receive and process all incoming materials in accordance with established protocols prior to inspection
  • Ensure accuracy and compliance at each step of the intake process
In-House Print Production
  • Manage day-to-day production of Beacon Dx's SVD printed materials using in-house printing capabilities, replacing previously outsourced services
  • Oversee printer operations, including supply management and routine maintenance
  • This initiative is expected to save the Dx team over $700/month in printing costs
Onboarding Support
  • Coordinate new hire swag distribution as part of the onboarding process
  • Partner closely with People Operations to ensure timely preparation and delivery for incoming employees

What you will bring:

  • Proven experience in office management, operations coordination, or a similar role
  • Strong organizational skills with the ability to manage multiple priorities simultaneously
  • Experience coordinating events or tradeshow logistics is a strong plus
  • Comfortable with hands-on tasks - from receiving shipments to operating and maintaining office equipment
  • Excellent interpersonal and communication skills; you'll be a visible, trusted presence in the office
  • Self-starter who can take ownership of processes and improve them over time
  • Proficiency with standard office tools; experience with CRM or lead tracking systems is a bonus

The hourly rate for this role is $23/hour. Compensation is determined based on past experience, specific skills, and qualifications, and is one component of the total package, which includes equity, PTO and other benefits.
