Holistic Dentistry of Port Washington is looking for a Front Office Patient Care Coordinator to join our team.

This is an important role within our practice and an opportunity to become a key part of our front office team. You’ll help create an exceptional patient experience while supporting scheduling, patient communication, treatment coordination, and the day-to-day administrative flow of the practice.

We’re looking for someone who is organized, personable, dependable, and eager to learn. Dental experience is helpful, but it is not required. We are open to candidates with strong customer service, medical office, administrative, or other relevant experience who are interested in learning the dental field.

About Our Practice

We are a family-oriented, fee-for-service dental practice that believes oral health is closely connected to overall wellness. We take time to educate our patients, build lasting relationships, and provide personalized care in a warm, welcoming environment.

As a holistic dental practice, our philosophy and approach are intentionally different from traditional dentistry. Prior experience with holistic dentistry is not required. We provide training and support and are looking for someone who is curious, open-minded, and excited to learn our approach to patient care.

What You'll Do

As a Front Office Patient Care Coordinator, you’ll play an important role in helping our patients have a positive experience from their first interaction with our office through their ongoing care.

Your responsibilities will include:

  • Coordinate the complete new patient experience from the first phone call through follow-up.
  • Schedule new patients, restorative treatment, emergency visits, and maintain productive provider schedules.
  • Review treatment plans, discuss financial arrangements, collect payments, and coordinate restorative care.
  • Follow up with patients who have unscheduled treatment and inactive patients using Weave.
  • Answer phones and respond to patient text messages and emails throughout the day.
  • Assist with Healthy Start tracking, Beam Reader reports, referrals, and patient documentation.
  • Partner with the Practice Manager on workflow improvements and special projects.
  • Assist with hygiene scheduling and patient check-in.
  • Help with opening procedures and end-of-day reporting.
  • Support the overall daily operations of the front office and help ensure patients receive a welcoming, organized experience.

Qualifications

Dental experience is preferred, but not required.

We are open to candidates with:

  • Previous dental front office experience
  • Medical office or healthcare experience
  • Customer service or administrative experience
  • Strong organizational and communication skills
  • A willingness and ability to learn the dental field

Helpful but not required:

  • Experience with treatment coordination and scheduling
  • Knowledge of dental insurance claims
  • Experience with Open Dental, Weave, or Dental Exchange
