Job description

We are seeking a reliable and organized Service Writer to join our diesel service team. The Service Writer serves as the primary liaison between customers and our diesel technicians. They are to ensure accurate documentation of repair needs, clear communication, and efficient workflow within the shop. This role requires strong customer service skills, attention to detail, and the ability to manage multiple service orders in a fast-paced environment.
ESSENTIAL DUTIES
  • Greet customers and collect detailed notes about service concerns
  • Create, open, and manage repair orders
  • Communicate repair needs, timelines, and estimates to customers
  • Coordinate with diesel technicians to ensure accurate diagnosis and repair
  • Verifies warranty and service contract coverage by examining records and papers, explaining provisions and exclusions
  • Order parts and materials as needed
  • Review completed work orders for accuracy and proper billing
  • Maintain organized records of service history
  • Ensure compliance with company policies and safety procedures
  • Assist with general administrative tasks to support shop operations

Qualifications
  • High school diploma or equivalent
  • Previous experience as a service writer, service advisor, or shop coordinator preferred (diesel or heavy equipment industry a plus)
  • Strong communication and customer service skills
  • Ability to multitask and work efficiently in a fast-paced environment
  • Strong organizational and problem-solving skills
  • Ability to interpret technician notes and convert them into customer-friendly explanations

Physical Requirements
  • Ability to work in a shop environment
  • Ability to lift up to 50lbs
  • Occasional walking between office and service bays
