Job description

THE SCHOOL BOARD OF HIGHLANDS COUNTY

POSITION TITLE:  Secretary

ASSIGNMENT:  Secretary 3 - Student Services

MINIMUM QUALIFICATIONS:

  1. A high school diploma or equivalent
  2. Three (3) years documented experience in a clerical or paraprofessional position
  3. Physical Requirements: Ability to perform essential functions and tasks which may include exerting up to 20 pounds of force occasionally and/or 10 pounds of force as frequently as necessary; lifting, crawling, kneeling, bending, stooping, pulling, and pushing, if required
  4. Satisfactory clearance of a criminal history records check and drug screening

ADDITIONAL DESIRED JOB QUALIFICATIONS:

  1. Advanced knowledge and experience in data collection, management, and reporting using Microsoft Excel and Google Workspace applications (Google Forms, Google Sheets, and Google Docs).
  2. Ability to analyze data, maintain confidential records, create reports, and use technology effectively to support organizational goals and compliance requirements.

PRIMARY PERFORMANCE RESPONSIBILITIES:

  1. Performs advanced word processing and Excel functions

  2. Sorts and files correspondence, reports, waivers, and other materials

  3. Maintains budget and understands payment procedures

  4. Maintains filing system, including confidential files

  5. Processes incoming correspondence as directed

  6. Maintains effective working relationship with other employees, parents, and community members

  7. Orders and maintains office supplies

  8. Computes data from listing, reports, or other records; assembles data in appropriate form for use in completing required reports

  9. Types and proofreads letters, memoranda, reports and other assigned material

  10. Scans documents for paperless storage

  11. Sorts and distributes mail

  12. Screens and refers office callers; takes telephone messages

  13. Cross trains co-workers in job related responsibilities

  14. Schedules and prepares meetings/workshops for school counselors, YMHAT trainings, MTSSBehavior, Threat Management, and individuals from outside agencies (DCF, Heartland for Children, Peace River Center, Tri-County Health and Human Services, DJJ, Youth & Family Advocates)

  15. Directs callers, visitors, school administrators, teachers and other individuals 

  16. Supports psychologists, social workers and mental health counselors with Medicaid documentation

  17. Records YMHAT required training documentation in personnel database

  18. Submits training records for YMHAT training to The National Council

ADDITIONAL DUTIES:

Performs all other duties as assigned 

TERM: 

Length of contract and number of hours worked are determined by specific allocation as approved annually during planning-budgeting process

APPRAISAL: 

Performance will be appraised annually in accordance with The School Board of Highlands County policies

PAYGRADE: 

According to the School Board of Highlands County Non-instructional Support Personnel Salary Schedule
