OPERATIONS COORDINATOR

As the Operations Coordinator, you will play an important role in keeping the organization running smoothly while supporting the people, programs, events, and activities that help local businesses grow, connect, and thrive.


This is a hands-on role for someone who enjoys variety, takes pride in being organized, and likes being at the centre of the action. One day you may be welcoming visitors, supporting staff, coordinating supplies, or setting up for a meeting; another day you may be helping with a business development or trade event, preparing materials for a delegation, updating HubSpot, coordinating catering, or supporting a regional business program.

THE OPPORTUNITY

Reporting to the Director, Corporate Services, the Operations Coordinator provides front-line administrative, operational, event, and coordination support for the whole organization. This role is responsible for front desk and reception services, office coordination, meeting and event support and day-to-day support of meetings and events across the whole organization.


This role will primarily work within regular business hours, with some earlier morning or occasional after-hours support required. The successful candidate will have the option to flex their hours as needed, based on operational requirements and in coordination with the Director, Corporate Services.


WHAT YOU'LL DO

  • Serve as the first point of contact for visitors, guests, couriers, service providers, and general inquiries, creating a welcoming and professional front-desk experience.
  • Answer and direct phone calls, take messages, notify team members of guest arrivals, and support the overall readiness of reception and common areas.
  • Coordinate mail, couriers, supplies, inventory, asset tracking, filing, scanning, data entry, document preparation, and other day-to-day administrative tasks.
  • Support onsite and offsite meetings, events, workshops, business development and trade programs, and delegations with room or venue set-up, catering, registration, materials, signage, transportation coordination, and supplier management.
  • Support participant coordination, meeting scheduling, stakeholder communications, vendor follow-up, and administrative tracking for programs and events.
  • Maintain and update records in HubSpot, including companies, contacts, leads, accounts, trade opportunities, trade activities, and related program information.
  • Assist with KPI tracking, grant reporting, internal reporting, data clean-up, and related administrative requirements.
  • Support HR coordination, including interview scheduling, candidate logistics, onboarding support, offboarding support, and workspace readiness for new employees.
  • Provide basic support for workplace technology needs, help with meeting room readiness, and submit or coordinate IT support tickets where escalation is needed.
  • Monitor office spaces for cleanliness, repairs, access issues, and general functionality, and submit facilities or building management tickets as required.
  • Support staff across the organization with routine workplace, administrative, event, and coordination needs.


WHAT YOU BRING

  • Minimum of a post-secondary certificate in office administration, business administration, business, international business, commerce, marketing, event management, or a related discipline, or an equivalent combination of education and experience.
  • 2-4 years of experience in office administration, reception, operations support, workplace coordination, program coordination, event management, project administration, economic development, international trade, or a related field.
  • Strong customer service and interpersonal skills, with the ability to interact professionally with employees, visitors, candidates, vendors, regional businesses, government partners, and external stakeholders.
  • Excellent organizational and project coordination skills, with the ability to manage multiple priorities in a fast-paced environment.
  • Strong verbal and written communication skills.
  • Strong attention to detail and accuracy in scheduling, data entry, recordkeeping, and administrative coordination.
  • Proficiency in Microsoft Office applications including Outlook, Word, Excel, and Teams, as well as comfort using CRM systems such as HubSpot.
  • Confidence using workplace systems, service portals, ticketing tools, and administrative processes.
  • The ability to exercise discretion, maintain confidentiality, work independently on routine responsibilities, and know when to escalate issues.
  • Experience coordinating events, stakeholder activities, logistics, vendors, catering, registration, or program administration is an asset.
  • Knowledge of international trade, export development, economic development, or grant-funded programs is considered an asset.
  • A valid Class 5 driver's licence and access to a reliable vehicle are considered assets, as some travel within the Edmonton region may be required.
