Job description

Primary Function of the Position

The ASP Clerk provides afternoon and evening front desk, family communication, and transportation support during New Millennium Academy's After-School Program (ASP).

Working under the supervision of the Office Manager, the ASP Clerk serves as a key point of contact for scholars, families, staff, and visitors during assigned ASP hours. The position supports regular front desk operations, assists with scholar dismissal and transportation, responds to family questions, and helps ensure scholars transition safely and efficiently from after-school programming to their approved transportation or pick-up arrangements.

The ASP Clerk will primarily work from 2:00-6:00 PM during ASP programming. Additional hours may be required when front desk coverage is needed, when a front desk staff member is absent, or when ASP programming extends beyond 6:00 PM, including home games and other school events.

Position Responsibilities

Front Desk and Family Support

  • Serve as a primary point of contact at the front desk during assigned ASP hours.
  • Answer incoming phone calls and respond to or appropriately direct questions from families, staff, and community members.
  • Greet and assist scholars, parents, families, staff, and visitors in a professional and welcoming manner.
  • Communicate with families regarding scholar pick-up, dismissal, transportation, and other ASP-related needs.
  • Support scholar check-in and check-out processes and help ensure established school procedures are followed.
  • Assist scholars who come to the front office and connect them with the appropriate staff member or support.

Dismissal and Transportation Support

  • Support safe, organized, and efficient scholar dismissal during ASP.
  • Assist with ensuring scholars report to and board the correct buses or other approved transportation.
  • Coordinate with ASP staff, transportation staff, and front office staff regarding transportation changes, delays, or other scholar transportation needs.
  • Communicate relevant transportation information to families as needed.
  • Help monitor scholars during dismissal and transportation transitions to support scholar safety.
  • Assist with dismissal and transportation needs during home games, special events, and other ASP programming.

Administrative and Operational Support

  • Provide clerical and administrative support to the front office during ASP hours.
  • Assist with copying, scanning, filing, organizing documents, and other routine office tasks as needed.
  • Provide additional front desk coverage when another front desk staff member is absent, as assigned.
  • Maintain accurate and timely communication with staff regarding scholar or family needs that arise during ASP.
  • Support the Office Manager and Operations staff with ASP-related administrative needs.
  • Perform other related duties as assigned in support of the safe and effective operation of ASP and the front office.
