Overview
WHO are we looking for?
CAPTRUST is seeking an Operations Associate, who will play a vital role in supporting a range of client service functions. This position involves managing scheduling and marketing platforms, maintaining and utilizing the CRM system, and ensuring timely and effective communication with colleagues across many different groups. As a collaborative team member, the Operations Associate will coordinate schedules across multiple stakeholders to ensure seamless execution of engagements. The internal title is intended to be Associate | CAPTRUST at Work.
Responsibilities
  • Scheduling Oversight, Coordination, and Fulfillment: Operate various aspects of our scheduling software, Calendly, to efficiently organize and streamline appointments and events, ensuring optimal time management for the team.
  • Comprehensive CRM Management: Actively work within our CRM system to perform advanced searches, export and input data, assist in training team members, and accurately upload fund-related information to maintain a robust client database.
  • Client Data Management: Manage and update client information in our CRM and file systems, ensuring all data is current, precise, and accessible. This includes Calendly data analysis, research, and critical problem solving skills to ensure proper functionality for various stakeholders.
  • Education and Training on Calendly Best Practices: Facilitate the training of colleagues on processes, best practices, and expectations for consistent use of the product. Communicate and coordinate training across different groups.
  • Special Projects: Perform other duties and special projects independently or as part of a team as required.

Qualifications
Minimum Qualifications:
  • Bachelor's degree or equivalent experience in associated field of study or equivalent combination of training and experience required.

  • Strong analytical skills
  • Proficiency Microsoft Office Suite, specifically Excel and Excel functions
  • Strong proven track record of attention to detail, efficiency, and accuracy in collection and auditing of data
