Job description

About the Role
As a Fund Operations Associate, you will sit at the center of Allocate's fund operational and treasury infrastructure, supporting the end-to-end lifecycle of 150+ funds across the platform. This role owns the operational details that keep the Allocate funds running: capital calls, distributions, wires, lines of credit, investor data integrity, and coordination both across the Allocate team and with fund administrators, banks, and other counterparties. You are accountable for accuracy, timeliness, and the operational health of the funds on the platform.
This is a hands-on execution role - and one where extreme client service is non-negotiable. You will manage high-volume, detail-intensive work across multiple funds simultaneously and are expected to operate with precision and urgency. When something breaks or an investor has a question, you don't wait for someone else to solve it - you dig in, find the answer, and own the outcome. You will work closely with Client Services, Relationship Management, Legal, Fund Admin, and Product to resolve operational issues and help build the processes that let us scale.
Key Responsibilities
Fund Lifecycle Operations
  • Process high volumes of wires, capital calls, and distributions across the fund portfolio, ensuring data accuracy and timeliness from instruction through settlement.
  • Coordinate with fund administrators and custodians to reconcile positions, confirm transactions, and resolve discrepancies - following through until every break is closed.
  • Perform bank account reconciliations and track fund cash flows across active funds.
  • Manage the line of credit lifecycle across funds - including opening new facilities, maintaining documentation, requesting advances ahead of capital call deadlines, processing repayments, and reconciling outstanding balances.
  • Track, calculate, and reconcile fund fees and expenses - including management fees, fund expenses, and any carried interest accruals - ensuring accuracy across fund records and investor reporting.

Client Service & Problem Solving
  • Serve as a trusted operational partner to wealth advisors and investors - responding with urgency, communicating proactively, and following through on every request.
  • Partner with Client Services to resolve investor-level inquiries tied to fund operations, taking ownership of issues end-to-end rather than passing them along.
  • Identify operational friction points before they become client-facing problems, and build the fixes rather than waiting to be asked.

Process & Communication
  • Document and maintain operational procedures for core fund workflows, building repeatable systems as volume and complexity grow.
  • Work with fund administrators, banking partners, and other service providers to ensure smooth execution across the fund lifecycle.

Qualifications
  • 3 - 5 years of experience in fund operations, fund administration, or a related role within alternative asset management, private equity, hedge funds, or a fund administrator.
  • Working knowledge of private fund structures, capital call mechanics, distribution waterfalls, and investor reporting workflows.
  • Highly organized with the ability to manage multiple deadlines across a portfolio of funds without dropping details.
  • Relentless problem solver who treats obstacles as puzzles, not blockers. You don't escalate without first exhausting your own options, and you follow every issue through to resolution.

Additional Details

  • Employment: Full-time.
  • Salary Range: $110,000 - $125,000 base salary, plus performance-based bonus, stock options, and comprehensive benefits.
  • Actual salary will be determined based on the candidate's experience, location, skills, training, certifications, and education, other relevant qualifications specific to the role, and internal equity and market data. Total compensation may include equity and discretionary performance-based bonuses based on individual, team, and company performance factors.
