We are an industry leader in heat recovery steam generators (HRSGs) with both domestic and international customers.
Position Summary
The Logistics Coordinator supports VPI Capital Projects, Aftermarket, and Warranty activities across all phases of project execution. This role works closely with the Logistics Manager, Project Managers, Sourcing, Scheduling, Engineering, and Technical Advisors to coordinate transportation, manage international trade requirements, and help mitigate logistics-related risks.
The Logistics Coordinator is responsible for arranging transportation and related services for shipments via ocean, air, and truck freight as needed. Responsibilities include preparing export documentation, recommending appropriate packaging solutions, and assisting with the negotiation and coordination of freight transportation services.
Essential Functions/Responsibilities
  • Coordinate quotes and arrange pickup or release for all orders classified as minor equipment (e.g., LTL, FTL, containers, air freight, courier shipments, export packaging).
  • Prepare, obtain, review, and monitor required shipping documentation for inbound and outbound shipments.
  • Liaise with customs brokers, freight forwarders, and carriers to support import/export transactions and documentation compliance.
  • Maintain and update project delivery trackers for Project Managers and clients, including daily shipment and delivery status updates.
  • Obtain, audit, and communicate preliminary and final shipping details to relevant stakeholders.
  • Prepare bid tabs and requisitions for transportation costs in accordance with VPI policies.
  • Develop, update, and maintain logistics processes and procedures as needed.
  • Audit master shipping files and communicate discrepancies with internal and external stakeholders.
  • Review and approve freight invoices for accuracy and compliance.
  • Monitor shipment schedules closely and proactively resolve logistics issues internally and externally.
  • Evaluate and select the most cost-effective transportation methods within project constraints.
  • Provide support on technical import/export matters as requested.
  • Collaborate with logistics sales support to ensure accurate freight cost estimates and lead times for proposals.
  • Maintain internal U.S. customs entry logs, including assist value tracking.
  • Support customs duty, tax, drawback, certification, and regulatory compliance requirements.
  • Expedite vendors to confirm readiness-to-ship dates and packing list accuracy.
  • Verify shipment completeness and delivery status for all orders.
  • Participate in project team meetings as required.
  • Develop site logistics requirements for assigned projects.
  • Support the Sourcing team in estimating freight costs from origin through final destination.

Requirements
  • Bachelor's degree in Business, Logistics, Transportation, Supply Chain, or a related field, or equivalent relevant experience.
  • Experience in logistics, operations, engineering, or project management preferred.
  • 2-5 years of transportation, logistics, or procurement experience preferred.
  • Strong written, verbal, and interpersonal communication skills with the ability to engage effectively at multiple organizational levels.
  • Highly organized, collaborative team player capable of working independently in a fast-paced, results-driven environment.
  • Strong analytical, technical, and problem-solving skills.
  • Proficiency in Microsoft Office applications required; advanced Excel skills preferred.
  • Commercial awareness and/or business development exposure preferred.
  • Demonstrated ability to coordinate complex projects and manage multiple priorities simultaneously.

The base pay range for this Logistics Coordinator role is $65,000 - $75,000 annually.
