Administrative Coordinator, Cell Therapy Development & Operations

As a Administrative Coordinator in Cell Therapy Development & Operations, youโ€™ll play an important role in executing our scientific strategy to make a positive impact on changing patientsโ€™ lives.
Main Duties and Responsibilities:
As an Administrative Coordinator, you will provide support to our Cell Therapy Manufacturing and Portfolio Strategy leaders. This includes exercising judgment in determining priorities related to handling calendars, meeting and travel schedules, routine reporting, projects and correspondence.
Responsibilities/Duties:
โ€ข Serve as the primary point of contact for the Tarzana site and act as a backup for the Santa Monica locations.
โ€ข Provide comprehensive administrative support to the Head of Manufacturing & Senior Director of CMC Portfolio Strategy
โ€ข Manage office operations and assist with vendor coordination for the Tarzana location.
โ€ข Oversee calendar management, scheduling virtual and in-person meetings across multiple time zones.
โ€ข Arrange multi-location domestic and international travel, and handle expense reporting.
โ€ข Coordinate internal and external meetings, ensuring efficient logistics and preparation of materials.
โ€ข Lead and manage special projects as assigned, ensuring timely and accurate completion.
โ€ข File expense reports and supply orders with accuracy and efficiency for team members, including follow-through to ensure that appropriate and timely actions are taken.
โ€ข Produce accurate and properly formatted documents using Microsoft Office (Word, Excel, PowerPoint)
โ€ข Provide project support and administration to cross-functional teams.
Essential Skills/Experience:
โ€ข High School Diploma or equivalent required; bachelorโ€™s degree preferred.
โ€ข A minimum of 5 years of experience in administrative support within the pharmaceutical, biotechnology, or life sciences industry is required
โ€ข Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and SharePoint.
โ€ข Experience in office management and vendor coordination.
โ€ข Ability to effectively multitask while maintaining confidentiality and discretion.
โ€ข Excellent teamwork, networking, and communication skills
Desired Skills/Experience:
โ€ข Experience supporting senior leaders and managing complex projects.
โ€ข Strong time-management skills and the ability to prioritize time-sensitive assignments.
โ€ข Competency with virtual technologies such as MS Teams and Zoom.
