RESPONSIBILITIES
The responsibilities of the Head of Operations role include, but are not limited to:
Operational Leadership & Execution
  • Own the day-to-day operations of the firm, ensuring all functions run smoothly and efficiently identify gaps, remove bottlenecks, and proactively solve operational challenges
  • Translate leadership priorities into clear action plans and ensure consistent follow-through
  • Act as the central point of coordination across the business, keeping work aligned and moving forward

Process Development & Continuous Improvement
  • Evaluate, build, and refine workflows across key areas of the business to improve efficiency and scalability
  • Develop, implement, and maintain SOPs to ensure processes are consistently followed by the team
  • Continuously identify and implement improvements to systems, tools, and overall operations

People Operations & Team Support
  • Oversee onboarding, offboarding, and the overall employee lifecycle to ensure a smooth and consistent team experience
  • Support performance management, including tracking goals, reviews, and driving accountability across the team
  • Manage PTO, scheduling, and team coordination while fostering a high-performing, collaborative, and accountable work environment

Financial & Administrative Operations
  • Coordinate with bookkeeping and finance to support payroll, invoicing, expense management, and overall financial operations
  • Review financial reports and support budgeting, forecasting, and KPI tracking to inform leadership decision-making
  • Ensure accuracy and efficiency across billing, collections, and financial workflows

Vendor & Systems Management
  • Manage relationships with external vendors and service providers
  • Oversee tools and systems (e.g., Clio, CRM, internal platforms) to ensure effective use
  • Research and implement new tools or vendors as needed to improve operations

Project Management & Strategic Support
  • Support firm-wide initiatives and special projects from planning through execution, ensuring alignment with business goals
  • Prioritize and manage multiple initiatives across the business, maintaining momentum and focus
  • Provide operational support to leadership by keeping them informed while removing them from day-to-day project details and ensuring timely completion

Recruiting & Remote Management
  • Support recruiting efforts, including sourcing, coordinating interviews, and onboarding
  • Help build and maintain a strong, high-performing team aligned with company values
  • Manage communication, meetings, and alignment across a fully remote team
  • Ensure accountability and consistent execution across distributed team members
  • Assist with marketing and business support initiatives as needed

** This is full-time, 100% remote position based out of Washington, DC. **
QUALIFICATIONS
Required
  • 5+ years of experience in role of operations leadership, business operations, or general management (Director of Ops., GM, COO, COS etc.)
  • Success leading and managing multiple functional areas (e.g., operations, HR, finance coordination, admin)
  • Experience working in a professional services environment (law, consulting, accounting, agency, finance etc.)
  • Successful history of improving or optimizing client intake or service delivery processes (e.g., streamlining onboarding workflows, improving team handoffs, reducing errors, and enhancing overall client experience)

Preferred
  • Prior experience in a law firm or legal services environment
  • Background in HR operations (onboarding, offboarding, payroll coordination, performance management)
  • Demonstrated ability working and leading in a remote or distributed team environment
  • Exposure to financial operations (budgeting, reporting, KPI tracking, P&L ownership)
  • Familiarity leveraging tools such as Clio, CRM systems, or workflow/project management platforms

Desired
  • Proven success scaling operations and driving revenue growth toward $10M+
  • Exposure to marketing, branding, or business development support within a professional services firm
  • Bachelor's degree (or equivalent professional experience)
