Job Description
Under the general supervision of the department chair(s), the Administrative Support performs clerical and administrative duties related to the operations and enrichment of the Mathematics and Computer Science Department. The Administrative Support is responsible for assisting the chair with routine operational and administrative details. Work involves the exercise of initiative, autonomy, and independence in various duties and extensive interface with multiple groups.
Essential Job Functions and Responsibilities: Employment duties include, but are not limited to:
Office Management:
  • Orders and maintains inventory of classroom and office supplies as well as maintains classrooms and offices within the Mathematics and Computer Science Department.
  • Performs general office and clerical work.
  • Assists Department Chair(s) with scheduling and appointments.
  • Manages classrooms, university meetings and student groups.
  • Manages faculty searches as needed, including but not limited to organizing application materials, serving as point of contact for visitors, arranging hotels and meals.
  • Supports new faculty (full-time and part-time) as they begin their appointments.
  • Coordinates major mixers and other community-building activities.
  • Assists with the planning of student engagement events including annual state-wide High School Programming Contest and Computer Science club Hackathon.
  • Works with department student clubs to assist with purchases and events.
  • Works with Q coordinator to manage student enrollment and completion of mathematics placement test, aiding students needing remediation before initial calculus course.
  • Assists Department of Academic Success in enrollment of students into Canvas Computer Science placement test.
  • Performs other work as requested.
Communications:
  • Answers telephone calls, monitors incoming department emails, and serves as a point of contact to visitors.
  • Serves as a liaison to other departments, including the Dean's Office and Office of the Provost.
  • Assists with the development and review of publicity and recruiting materials and office publications (web and print).
  • Works with University Marketing to maintain department websites.
Budget:
  • Develops and maintains eight or more departmental budgets including but not limited to an administrative budget and endowed fund budgets.
  • Oversees purchases of software and classroom equipment as well as the management of department credit cards.
  • Assists with faculty travel and reimbursement of approved expenses.
Supervisory Responsibilities:
  • Supervises work-study students, including approving time sheets.
  • Partners with Academic Success Department to coordinate schedules and locations of Mathematics and Computer Science student tutors.

Required Knowledge, Skills, and Abilities: The knowledge, skills, and abilities for this role include:
  • Initiative and strong organizational skills to complete tasks efficiently and support long-term planning to support department and university objectives
  • Strong interpersonal, communication, and problem-solving skills
  • Ability to multitask and the capacity to work effectively with a variety of people in support of the department and university mission.
  • Strong skills in Microsoft Word, Excel, PowerPoint, and Outlook required
  • Must be able to work effectively with highly confidential information
  • Must be able to prepare written communication with little oversight
  • Must possess the ability to prepare budgets and track expenditures from multiple sources

Required Qualifications: This position requires:
  • Associates Degree with 5 or more years of administrative experience or a combination of training and experience
  • Experience in office management and responsible administrative support or an equivalent combination of training experience strongly preferred

However, sponsorship is contingent upon the non-applicability of the visa petition fees outlined in the relevant Executive Order signed September 19, 2025.
