Job description

About Hartmann Studios

Hartmann Studios is a full-service employee-owned event strategy, design, and production company with offices in the San Francisco Bay Area, Atlanta, and West Des Moines. We create meaningful experiences for some of the world's most recognized brands and are seeking a Senior Producer to join our Event Production team.

Position Summary

We are looking for an operationally minded Senior Producer who thrives in fast-paced environments and enjoys solving complex logistical challenges.

This role focuses heavily on event operations, executive experiences, site logistics, and cross-functional coordination. Success in this role requires someone who is equally comfortable planning behind a laptop and working on-site to ensure every detail is flawlessly executed.

This position is centered on operational excellence, rapid problem solving, and white-glove stakeholder experiences. The ideal candidate has experience coordinating complex event logistics, partnering with multiple stakeholders, and managing dynamic event environments where priorities may shift quickly.

This role requires strong proficiency in Apple's Keynote platform and the ability to confidently create and update planning documents, diagrams, timelines, maps, and presentations in real time during client conversations.

Key Responsibilities
  • Lead operational planning and execution for corporate events, executive experiences, and special projects.
  • Serve as a primary client-facing partner for assigned projects and programs.
  • Build and maintain detailed production plans, timelines, logistics documents, and run-of-show materials.
  • Create and update planning presentations and event documentation using Apple Keynote.
  • Coordinate transportation, arrival and departure logistics, security planning, permitting, crowd management, wayfinding, and guest experience initiatives.
  • Partner with venues, municipalities, security teams, internal stakeholders, and external vendors to execute seamless events.
  • Manage budgets, forecasting, reconciliation, and vendor negotiations.
  • Identify operational risks and proactively develop contingency plans.
  • Support executive and VIP experiences with a high level of professionalism and attention to detail.
  • Lead cross-functional project meetings and maintain alignment among key stakeholders.
  • Travel to event sites and provide on-site leadership throughout execution.
Ideal Experience
  • 10+ years of experience in event production, event operations, experiential marketing, corporate events, or related fields.
  • Proven experience managing complex logistics for live events, corporate programs, executive meetings, or high-profile activations.
  • Strong background in event operations, transportation planning, venue management, site operations, security coordination, hospitality, or guest experience.
  • Experience supporting executive-level stakeholders and white-glove client experiences.
  • Experience managing multimillion-dollar event budgets and vendor partnerships.
  • Ability to thrive in environments with short planning cycles and rapidly changing priorities.
  • Strong problem-solving skills with a calm, solutions-oriented approach.
Preferred Qualifications
  • Advanced proficiency with Apple Keynote.
  • Familiarity with technical production concepts including AV environments, studio builds, livestreams, and presentation infrastructure.
  • Experience collaborating with safety, security, facilities, and operations teams.
  • Experience supporting events on corporate campuses or within complex operating environments.
