Job description

Title: Proposal Coordinator
Reporting to: Chief Marketing Officer
Overview of Role
The Proposal Coordinator will be responsible for creating and editing content and overall production of proposals, capability statements, and other related marketing materials. In addition, the Proposal Coordinator will facilitate the creation of and maintain proposal-related documentation, including firm profiles, firm experience, personnel resumes, presentations, and proposal templates.
Essential Functions
  • Develop and produce polished client submissions and marketing materials
  • Content development, including writing, editing, and proofreading
  • Perform quality assurance reviews to ensure accuracy, consistency, and compliance
  • Assist with Go/No-Go processes and proposal planning efforts
  • Coordinate proposal production and delivery efforts, including leading kickoff meetings, proposal reviews, and assisting with interview preparation
  • Develop graphics, layouts, and visual materials that enhance proposal quality and presentation
  • Maintain company brand standards through templates, presentation materials, graphics, supporting tools, and proposal library resources
  • Continuously seek opportunities to improve proposal processes and workflows
  • Collaborate effectively with technical staff, leadership, and marketing teams
  • Strong professional writing, editing, and graphic/layout design skills required
  • Ability to manage multiple projects, deadlines, and competing priorities in a fast-paced environment
  • Excellent oral, written, and interpersonal communication skills
  • Detail-oriented with strong organizational skills and ability to meet tight deadlines
  • Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
  • Proficiency in Adobe InDesign required
  • Experience with Adobe Illustrator and Adobe Photoshop preferred
  • Occasionally attend virtual client meetings, proposal interviews, and conferences as needed
  • Support additional marketing initiatives as assigned

The ideal candidate will demonstrate a positive proactive approach to the role, and will be committed to delivering customer service excellence, with good commercial results.
  • BA/BS in marketing, communications, English, journalism or a related field or equivalent work experience
  • 3 years' experience in preparing proposals in an A/E/C environment

Physical Requirements and Working Conditions
  • Indoor office environment. May require work on site location when necessary.
  • Equipment used includes computers and standard office machines.
  • Essential physical tasks include: the ability to work on a computer and the ability to answer and speak on a telephone.
