Employer Services Assistant

Report to: Director of Employer Services

Primary Objective

This position provides support to Employer Services Department to ensure that communications are accurately disseminated to departments within the agency.

Duties/Job Functions:

  • Facilitate processes with Quality Control Department
  • Facilitate OJT payments/employers
  • Reconcile daily for all locations
  • Submit daily reports to Quality Control Department and operations manager
  • Skilled in typing, editing, filing, copying and organizational support to the Unit
  • Tracking all Employer Services files and documents
  • Effectively answer incoming telephone inquiries and direct them to the appropriate personnel
  • Responds to organization-wide requests for information
  • Responsible for confidential and time sensitive material
  • Maintain and update Employer Performance Scorecard by receiving reports from WDEs and entering the information on an Excel spread sheet
  • Support WDEs with hiring initiatives
  • Maintain all current OJT files and quality check OJT reimbursements for numerical accuracy and to reconcile budgets amounts
  • As directed by manager, submit disbursements to quality control department to insure accurate disbursements and timely reconciliation of funds
  • Ensure all OJT packets have appropriate protocols met and that OJT clients submitted for reimbursements have all requirements intact as required by FEC procedures
  • Create Obligation Request in ETO
  • Record all placements in ETO
  • Record all worksite Monitoring Touch point and upload the copy of the signed original, Mid-Point and Competency Worksite Monitoring
  • Maintain a weekly OJT balance sheet which identifies funds obligated by department and funds balance for appropriate funds management for OJT; work experience and support service accounts for participants/trainees
  • Assist with training plans entries into program system including MOJOBS and Apricot systems
  • Assist with data entry into new payroll systems
  • Performing other duties as may be assigned by Sr. Management

Qualifications:

  • High School Diploma or GED
  • At least one to three years in experience in workforce employment and training programs required or combination of education and experience
  • Must have the ability to work in a culturally diverse environment
  • Must be computer literate/proficient knowledge of Microsoft Word, Excel, and Outlook
  • Good organization and communication skills
  • Must be able to pass a background check
  • Must have personal transportation, diver license and auto insurance
  • Must be able to travel

  • Knowledge of the Full Employment council and its objectives
  • Skilled in organizational systems, specifically related to filling and follow-up
