Shipping Export Document Coordinator


Job summary

We're seeking a reliable, detail-oriented, and organized individual to join our team as a Document Coordinator. This full-time hourly role provides essential administrative support across the warehousing organization, helping ensure daily operations run smoothly. The ideal candidate enjoys working in a structured environment, is comfortable handling routine office tasks, and takes pride in accuracy and organization. This is a great opportunity for someone looking to build experience in administrative support while contributing to a collaborative team.


The Shipping Export Document Coordinator position is a day shift needed Monday through Friday. The position requires the ability to work some weekends to support export needs. This position will report to the Shipping Export Manager.


Key Responsibilities

  • Provide general clerical and administrative support, including filing, data entry, export document preparation, and record maintenance.
  • Assist with scheduling meetings, coordinating calendars, and organizing office materials
  • Answer internal and external calls, route messages, and respond to basic email inquiries as needed
  • Maintain accurate records in internal systems and spreadsheets
  • Support department workflows by preparing reports, scanning documents, and organizing digital files
  • Assist with mail and sample processing, copying, and other routine office tasks
  • Collaborate with team members to ensure deadlines are met and administrative needs are fulfilled
  • Follow established procedures and help identify opportunities to improve administrative processes

Qualifications

  • High school diploma or GED
  • At least one year of clerical, administrative, or office support experience is preferred
  • Export documentation experience preferred
  • Strong organizational skills and attention to detail
  • Basic proficiency with Microsoft Office or Google Workspace
  • Comfortable working with internal systems and databases
  • Ability to manage multiple tasks and prioritize responsibilities
  • Dependable, professional, and able to work independently or as part of a team

Work Environment & Physical Demands

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines
  • This is a largely sedentary role; however, some filing is required, which would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary
