Facilities & Safety Coordinator

Reports To: VP of Facilities Operations

Position Type: Exempt

Position Summary

The Facilities & Safety Coordinator is a field-based, handsโ€‘on role that combines proactive health and safety oversight with direct facilities maintenance responsibility across Goodwill NYNJ locations in New York and New Jersey. This position conducts safety and facility assessments, performs minor and preventive repairs across all core building systems, coordinates safety and compliance training (including administration of training and complianceโ€‘tracking systems), supports emergency preparedness, and oversees fleet safety programs. The Coordinator also plays a key administrative and project management role โ€” maintaining accurate records, preparing regular reports, tracking work orders and vendor documentation, and coordinating crossโ€‘functional projects from start to finish. The Coordinator partners closely with store, mission, Facilities, Operations, HR, and Asset Protection leadership to ensure workplaces are safe, compliant, wellโ€‘maintained, and operationally ready, visiting assigned facilities on a recurring schedule to perform routine maintenance, safety checks, and followโ€‘up corrective work.

Health & Safety
  • Conduct routine health and safety inspections and facility assessments across Goodwill NYNJ locations.
  • Identify workplace hazards, document findings, and coordinate corrective actions; perform followโ€‘up inspections to verify completion.
  • Assist with incident investigations, documentation, and root cause analysis.
  • Maintain safety inspection records, compliance documentation, and reporting metrics , ensuring information is accurate, current, and auditโ€‘ready.
  • Support OSHA compliance initiatives and organizational safety programs.
  • Provide field coaching and guidance to employees and leadership regarding safe work practices.
  • Coordinate and facilitate emergency evacuation, fire, severe weather, and other emergency response drills.
  • Inspect emergency equipment, including fire extinguishers, first aid kits, AEDs, eyewash stations, and other safety supplies.
  • Assist locations with maintaining Emergency Action Plans and emergency preparedness documentation.
  • Support emergency response efforts during workplace incidents and facility disruptions.
  • Document drill outcomes and recommend improvements to emergency response procedures.
Training, Compliance & Administration
  • Deliver safety orientation and ongoing safety training to employees and supervisors.
  • Administer training and complianceโ€‘tracking systems , including assignment management, completion tracking, reporting, and compliance followโ€‘up.
  • Maintain employee training records, certifications, and compliance documentation.
  • Develop and coordinate training schedules and project timelines to ensure required safety programs are completed on time.
  • Train and certify employees on powered equipment, including pallet jacks, floor scrubbers, compactors, balers, and other operational equipment.
  • Reinforce safe work practices through coaching, field observations, and employee engagement.
  • Prepare regular compliance and training reports , monitoring completion rates, identifying gaps, and recommending corrective action.
Fleet Safety & Training
  • Oversee fleet safety training programs, including driver qualification requirements and safe vehicle operation practices.
  • Coordinate fleetโ€‘related training, documentation, and compliance tracking, including administration of the relevant training and tracking systems.
  • Maintain fleet training records, driver certifications, and required documentation.
  • Support fleet safety inspections and identify opportunities to improve vehicle safety and operational practices.
  • Partner with Operations and Facilities leadership to address fleetโ€‘related safety concerns.
Facilities Maintenance & Support
  • Perform routine and preventive maintenance across assigned facilities, including HVAC systems checks, wall and floor repairs, ceiling tile and light replacements, drains, faucets and fixtures, gates and overhead doors, locks, minor roof and parking lot repairs, furniture assembly and wall mounts, lowโ€‘voltage wiring, electrical fixtures and outlets, and painting/touchโ€‘up.
  • Identify and repair minor issues on the spot whenever possible; document and elevate major issues requiring additional time, resources, or a certified tradesman.
  • Conduct preventive facility inspections and identify maintenance needs; coordinate larger repair requests and projects with Facilities Management.
  • Support facility readiness for inspections, audits, operational events, and special projects.
  • Assist with maintaining safe, clean, and functional workplace environments.
  • Document progress and completion of work orders in webโ€‘based applications and written reports; track, prioritize, and close out assigned work orders.
  • Assist other technicians on projects that require more than one person to perform safely; fill in for other technicians during time off.
  • Respond to afterโ€‘hours emergency calls and rotate onโ€‘call schedule with other team members.
Operations & Project Support
  • Travel regularly to Goodwill NYNJ facilities throughout New York and New Jersey (typically 8โ€“10 assigned locations, visited once or twice monthly).
  • Partner with Operations, Facilities, Human Resources, Asset Protection, and other departments to resolve safety and operational concerns and coordinate crossโ€‘functional projects.
  • Prepare clear, accurate reports summarizing inspections, corrective actions, training activities, fleet compliance, and facility conditions for leadership review.
  • Maintain inventories of safety equipment, emergency supplies, and operational resources.
  • Provide field support and project coordination during audits, inspections, and organizational initiatives.
  • Adhere to all Goodwill and personnel policies and procedures; report safety hazards and injuries to the Manager, HR, and/or Job Coach as applicable.
  • Additional duties as assigned.
  • Coordinate with outside vendors and contractors for repairs, inspections, and services beyond the scope of inโ€‘house maintenance.
  • Obtain and review vendor quotes, schedule vendor visits, and confirm completed work meets quality and safety standards.
  • Review, code, and submit vendor invoices for approval; track invoice status and resolve billing discrepancies.
  • Maintain organized administrative records of vendor contracts, certificates of insurance, work orders, and service history for each facility.
  • Process and file safety, maintenance, and compliance paperwork, including inspection reports, permits, and certifications.
  • Support budget tracking by monitoring vendor spend and maintenance costs against facility budgets.
  • Maintain accurate, upโ€‘toโ€‘date documentation and reporting in shared systems for audits, inspections, and internal reporting.
  • Satisfactory interaction with GWNYNJ employees and management, demonstrating a customerโ€‘service mindset and attention to compliance.
  • Timely initiated and closed work orders.
  • Accurate, timely reporting and administrative documentation , with attention to detail across shared folders and software.
  • Maintains clean, professional appearance; neat and organized in performing maintenance activities.

Qualifications
  • High school diploma or equivalent required; Associate's degree or technical school designation preferred.
  • 4โ€“9 years of experience in facilities maintenance, construction, safety, operations, or a related field.
  • Technical knowledge of building systems and mechanicals; ability to perform minor maintenance and repair work.
  • Experience conducting inspections, delivering training, managing compliance programs, coordinating projects, or supporting facility operations preferred.
  • Working knowledge of OSHA standards and workplace safety principles.
  • Experience using training/complianceโ€‘tracking software or similar administrative platforms preferred.
  • Valid driver's license with a clean driving record; ability to travel throughout New York and New Jersey.
  • Ability to lift up to 50 pounds and safely work from ladders when necessary.
Skills Required
  • Facilities maintenance experience in office, retail, and/or warehouse locations.
  • Experience interacting with typical facility maintenance vendors.
  • Strong administrative and reporting skills , including basic computer literacy and experience with mobile work order management devices preferred.
  • Strong organizational and project management skills , with the ability to track multiple tasks, timelines, and deliverables simultaneously.
  • Strong written, verbal, and problemโ€‘solving skills.
  • Proven ability to successfully interact with stakeholders across the Goodwill organization.
