Administrative Assistant

Governors Club - Chapel Hill, North Carolina Part-Time | Up to 24 Hours per Week | Flexible Schedule

Pay Range: $18–$20+ per hour

Governors Club is seeking an organized, dependable, and professional Administrative Assistant to join our Golf Course Maintenance Department.

This position manages the day-to-day administrative functions of the Golf Course Maintenance office and works closely with the Director of Grounds, Golf Course Superintendent, Accounts Payable, Accounts Receivable, and other Club departments.

The ideal candidate is highly organized, detail-oriented, comfortable working independently, and able to manage multiple responsibilities in a professional and fast-paced environment.

Responsibilities:

· Manage the daily administrative functions of the Golf Course Maintenance office.

· Greet and assist visitors, vendors, employees, and other guests.

· Perform general office duties, including filing, mail distribution, data entry, record keeping, and document organization.

· Maintain spreadsheets, web-based applications, departmental records, and reports.

· Maintain department and management calendars and assist with scheduling.

· Order and maintain office supplies.

· Process invoices, purchase orders, and other departmental paperwork.

· Communicate professionally with internal departments, vendors, employees, and other external contacts.

· Assist with employee payroll and the onboarding of new team members.

· Assist with departmental budgeting, including compiling, updating, tracking, and monitoring budget information.

· Work closely with Accounts Payable and Accounts Receivable as needed.

· Perform additional administrative duties and special projects as assigned.

Required Qualifications:

· High school diploma or equivalent.

· Minimum of one year of office management or administrative experience.

· Proficiency in Microsoft Word and Excel.

· Strong organizational, record-keeping, and time-management skills.

· Excellent written and verbal communication skills.

· Familiarity with Accounts Payable and Accounts Receivable processes.

· Ability to manage multiple priorities while maintaining accuracy and attention to detail.

Reports To: Director of Grounds / Golf Course Superintendent
