Member Relations Coordinator

About Us

Cowboys Golf Club is the world's only NFL-themed golf club, set across 18 scenic holes in the rolling hills of Grapevine, Texas. Home to the Arcis Players' Membership, we deliver a one-of-a-kind experience that blends championship golf, rich tradition, and premium hospitality. We're looking for a Member Relations Coordinator who shares our passion for creating exceptional member experiences.

Position Summary

The Member Relations Coordinator serves as the primary point of contact for our membership, ensuring every member feels valued, informed, and engaged with the Club. This role blends customer service, event coordination, and administrative support to strengthen member satisfaction and retention.

Key Responsibilities
  • Serve as a welcoming, knowledgeable point of contact for current and prospective members, in person, by phone, and by email
  • Manage the new member onboarding process, including welcome communications, orientation, and account setup
  • Maintain accurate member records and membership database, including billing, renewals, and status changes
  • Plan and coordinate member events, clinics, socials, and appreciation functions in partnership with the golf and F&B teams
  • Track member engagement and satisfaction, proactively addressing concerns and escalating issues as needed
  • Support membership sales efforts by fielding inquiries, scheduling tours, and following up with leads
  • Assist in producing member communications, including newsletters, event invitations, and Club updates
  • Collect and report on member feedback to help shape Club programming and service standards
  • Coordinate with golf operations, dining, and events departments to ensure a seamless member experience across all touchpoints
  • Uphold the Club's brand standards and hospitality culture in every member interaction
Qualifications
  • 1-3 years of experience in member services, hospitality, customer service, or a related field (private club or golf industry experience a plus)
  • Strong interpersonal and communication skills, with a genuine passion for hospitality
  • Highly organized with the ability to manage multiple priorities and events at once
  • Comfortable with membership management software, CRM systems, and Microsoft Office
  • Professional, positive demeanor with a member-first mindset
  • Flexibility to work weekends, evenings, and Club events as needed
  • Interest in golf or sports/entertainment hospitality preferred, but not required
