Job Summary

This position provides leadership and operational management for JLL's Global Derivatives business, overseeing administrative systems, processes, and policies that support the team's day-to-day functioning. The role works closely with the Head(s) of the Derivatives business and the wider Derivatives team to ensure smooth operations, and coordinates with Office Heads, Corporate Departments, and associates to advance the organization's goals and objectives.

Main Responsibilities

Business Operations & Strategic Support

  • Oversee and coordinate business activities and facilitate day-to-day operations; identify and implement process improvements to drive efficiency.
  • Participate in and contribute recommendations to the business planning process alongside Derivatives Heads; support company-wide initiatives as needed.
  • Assist in the preparation of strategic plans, marketing presentations, and monthly business reviews.
  • Support annual budget preparation, working with Derivatives Heads to determine expenses and analyze prior-year budget performance.

Financial & Vendor Administration

  • Maintain relationships and contracts with internal and external vendors and service providers, including invoice coding and processing, supplier setup in JLL's AP systems, and handling remittance inquiries.
  • Ensure data integrity in Salesforce and follow up on missing or incomplete information.
  • Respond to accounting team requests, including revenue reconciliation with Salesforce, fee share credit reporting, accounts receivable actions, and other transaction-related information requests.

Compliance & Regulatory Support

  • Maintain familiarity with applicable regulatory requirements; liaise with JLL compliance resources and Derivatives Heads to ensure written supervisory policies (WSPs) are followed.
  • Organize and collect information from relevant systems to support completion of regulatory reporting.

Team, Facilities & IT Coordination

  • Support the derivatives team's administrative, equipment, and office product needs; provide training, guidance on navigating JLL, and access to resources. May supervise staff directly or indirectly.
  • Coordinate with IT to ensure employees have appropriate computer and phone equipment and system access (provisioning/de-provisioning); provide limited technical support and assist with service tickets as needed.
  • Oversee office moves, expansions, and upgrades, including working with contractors, negotiating costs, and making decisions on space, furniture, and equipment.
  • Organize special office or department activities, including company events, staff appreciation activities, and office moves.
  • Ensure company policies are followed and communicate new policies, procedures, and best practices to staff.
  • Serve as the primary business contact for corporate departments including Human Resources, Accounting, Audit, Marketing, and Information Technology.

Communications & Corporate Liaison

  • Maintain and regularly update the US and Global Derivatives SharePoint sites.
  • Coordinate with Marketing on events, press releases, content for global newsletters, and other internal communications and JLL publications.
  • Attend team and manager meetings; ensure timely follow-up on action items.
  • Other duties as assigned.

Qualifications

Education & Experience

  • Bachelor's degree required (Business, Finance, or related field).
  • 5+ years of experience in business operations or management, ideally within financial services, capital markets, or a professional services environment.
  • Experience supporting a trading, treasury, or derivatives-adjacent business is a plus, given the regulatory and WSP exposure in this role.
  • Prior exposure to JLL's internal Accounting, Finance, and HR systems and processes preferred; familiarity with how these corporate functions operate within JLL is a strong advantage.

Technical & Systems Skills

  • Proficiency with Salesforce (data integrity, reporting) and SharePoint administration.
  • Advanced proficiency in Excel and PowerPoint.
  • Familiarity with accounts payable / invoicing systems.
  • Strong working knowledge of AI tools (e.g., Claude, Copilot) to improve efficiency in reporting, communications, and day-to-day operations preferred.

Regulatory & Domain Knowledge

  • Working knowledge of financial services compliance frameworks and written supervisory procedures (WSPs).
  • Exposure to derivatives, capital markets, or broker-dealer operations preferred.

Skills & Competencies

  • Strong project management skills with the ability to prioritize across multiple concurrent workstreams.
  • Vendor negotiation and budget management experience.
  • Effective cross-functional stakeholder management across HR, IT, Marketing, Compliance, and Audit.
  • Sound judgment and discretion in handling confidential business and financial information.
  • Strong written and verbal communication skills.

Estimated compensation for this position:

90,000.00 - 110,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
