Job description

We are seeking a motivated Junior Property Manager to support the day-to-day operations of our residential properties located in Montreal and ensure a positive living experience for tenants. Working closely with the Senior Property Manager and Regional Operations Manager, the Junior Property Manager will assist with tenant relations, rent collection, property maintenance coordination, and administrative tasks. This role provides exposure to the full scope of property management activities while maintaining a focus on delivering high-quality customer service.

Responsibilities:

  • Tenant Relations: Serve as the first point of contact for routine tenant inquiries on Building Stack and in person, ensuring prompt and professional responses. Assist with managing tenant requests, complaints, and concerns, escalating complex matters to the Senior Property Manager as needed. Prepare and distribute tenant notices and communications, including renewal distributions. Conduct new tenant onboarding and post move-in meetings, prepare new tenant welcome packages, conduct onboarding meetings, and complete onboarding checklist.
  • Rent Collection: Support rent collection activities, including maintaining accurate records of payments. Assist with follow-up on late payments under the direction of the Property Manager.
  • Property Inspections: Participate in routine inspections of properties and vacant units to ensure cleanliness, safety, and upkeep. Report inspection findings to the Senior Property Manager and assist with follow-up actions.
  • Maintenance Coordination: Assist in coordinating property maintenance and repairs with contractors, vendors, and on-site staff. Support scheduling, purchase orders, and quote requests, ensuring timely and cost-effective work.
  • Lease Management: Assist with lease administration, including coordinating move-ins and move-outs, and maintaining accurate lease records. Participate in move-in/move-out inspections.
  • Administrative Duties: Maintain organized property records, including leases, inspections, and maintenance files. Verify BuildingStack tickets progress, delegation, and prioritization. Support general administrative tasks such as updating tenant/building notices and system records.
  • Communication and Meetings: Participate in team meetings and coordinate with concierges, maintenance staff, and the Property Manager to ensure smooth operations.
  • Other Support: Provide support during emergencies and other ad hoc needs across the portfolio as required.

Qualifications:

  • Post secondary education is preferred.
  • 1+ year of experience in residential property management, real estate, or a related field.
  • Knowledge of applicable laws and regulations related to property management in Quebec is an asset.
  • Strong customer service skills with the ability to build positive relationships with tenants, contractors, and vendors.
  • Excellent communication and organizational skills; ability to manage multiple priorities effectively.
  • Strong problem-solving skills and the ability to work both independently and as part of a team.
  • Proficiency in Microsoft Office and familiarity with property management software (e.g., Yardi, BuildingStack, etc.)
  • Fluent in English and French.
