Job description

POSITION SUMMARY

The Project Coordinator is an on-site, office-based position stationed in the construction trailer at the QTS Data Centers – Project Eagle Mountain facility in Eagle Mountain, Utah. This role serves as the operational backbone of VFC’s field project team, providing day-to-day administrative, financial, and quality-control support to the Project Manager and field supervision. The Project Coordinator is responsible for ensuring that project documentation, crew hour tracking, budget reporting, equipment management, and platform data are consistently accurate and up to date throughout all phases of construction.


ESSENTIAL DUTIES AND RESPONSIBILITIES

Crew Hours & Timekeeping

• Collect, verify, and record daily crew hours for all field technicians and subcontractors assigned to the project.

• Enter and reconcile time data in the company ERP system (NetSuite) and applicable project management platforms in a timely manner.

• Identify and escalate any discrepancies in hours, classifications, or cost codes to the Project Manager immediately.

• Maintain a daily crew count log including craft classifications, headcounts by trade, and overtime tracking.

Daily Reporting

• Prepare and distribute daily field reports summarizing work completed, crew deployment, safety incidents, weather conditions, and any work stoppages.

• Compile weekly progress summaries for Project Manager and senior leadership review.

• Maintain a complete and organized project log, including meeting minutes, RFIs, submittals, and correspondence.

Quality Control Documentation

• Prepare, track, and file all quality control inspection reports, including grounding and bonding verification records and installation checklists per NFPA 780 and project specifications.

• Coordinate with field supervision to ensure required inspections are scheduled, completed, and documented before work is covered or concealed.

• Maintain a deficiency and punch-list log; track open items to closure in coordination with the Project Manager.

• Photograph completed work at key milestones and maintain an organized digital photo log tied to project phases and work areas.

Procore Data Management

• Maintain real-time updates in Procore including daily logs, RFIs, submittals, drawing revisions, and document transmittals.

• Upload and manage as-built drawings, inspection reports, test records, and closeout documentation throughout the project lifecycle.

• Coordinate Procore access and training for field personnel as needed; ensure data integrity across all project modules.

• Track and process subcontractor documentation, insurance certificates, and compliance requirements through Procore.

Budget Monitoring & Cost Tracking

• Monitor project budgets against actual costs on a weekly basis; prepare variance reports and flag overruns to the Project Manager.

• Assist in tracking project costs by cost code, including labor, material, and subcontractor expenditures, ensuring alignment with the approved project budget.

• Assist with preparation of owner billing applications, schedule of values updates, and supporting documentation.

• Process and code field-related invoices, material receipts, and packing slips; route for Project Manager approval.

Rental Equipment Management

• Maintain a comprehensive rental equipment log tracking all rented tools, lifts, compressors, trailers, and related equipment on-site, including vendor, rental period, rates, and return dates.

• Coordinate equipment deliveries, pick-ups, and exchanges with rental vendors to minimize idle time and excess charges.

• Reconcile rental invoices against the equipment log monthly; verify rates and days-on-rent prior to approval.

• Ensure all on-site equipment has current inspection tags, safety certifications, and operator qualification records on file.

Material Tracking & Site Logistics

• Receive, verify, and document material deliveries against purchase orders; notify Project Manager of shortages, overages, or damaged goods.

• Maintain a material on-hand log and coordinate with the office procurement team to ensure adequate supply levels for scheduled work activities.

• Assist with coordination of laydown areas, material staging, and site logistics in collaboration with the General Contractor’s site team.

General Administrative & Communications Support

• Serve as the on-site point of contact for day-to-day coordination with the General Contractor, Electrical Contractor, and other trades regarding schedule, access, and field issues.

• Manage project filing systems (physical and electronic), ensuring all documents are current, accessible, and retained per VFC document control standards.

• Attend and document project meetings; distribute meeting minutes within 24 hours of meeting completion.

• Perform other duties as assigned by the Project Manager in support of successful project delivery.


QUALIFICATIONS

• High school diploma or GED required; Associate’s degree or higher in Construction Management, Business Administration, or a related field preferred.

• Minimum 2 years of experience in construction project coordination, field administration, or a closely related role.

• Proficiency with Procore (or similar construction management software) is a huge plus but not required; Procore certification is a plus.

• Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with ERP systems (NetSuite preferred) is a plus.

• Excellent organizational skills with a demonstrated ability to manage multiple priorities simultaneously in a fast-paced construction environment.

• Strong verbal and written communication skills; ability to interact professionally with owners, contractors, and VFC leadership.

• Self-motivated and detail-oriented; capable of working independently in an office trailer environment with minimal direct supervision.

• OSHA 10-hour construction certification required, will be supplied by VFC.

• Must have reliable transportation; valid driver’s license with acceptable driving record required.


WORKING CONDITIONS

This position is based full-time in a construction office trailer located at the QTS Eagle Mountain project site. The work environment involves regular exposure to a large-scale active construction site. Occasional walking of the construction site is required for documentation, inspection, and coordination purposes. Standard work schedule is Monday through Friday; extended hours or weekend availability may be required during peak construction phases or critical deadlines. This is not a remote position — daily on-site presence is expected.

Pay: $25-$35 per hour, depending on experience
