Job description

To provide support to Project Managers and other project team members.  Responsible for coordinating administrative support functions for projects assigned to the Project Managers whom are direct reports.  Will assist in all phases of the projects from procurement through closeout.    
Principal Duties and Accountabilities:   

  • Works under the general supervision of the Project Managers to whom this position directly reports.
  • Assists in project permit, insurance, and bond procurement.
  • Assists in project mobilization and demobilization.
  • Sets up project documentation and provides project document control from beginning of project through its setup through the end of the project.  Coordinates its distribution to both internal and external parties per company procedures.
  • Maintains organized filing system for all project documentation, including ensuring that the operations portal (NEST) and Bluebeam Studios are kept current.
  • Processes and track submittals from requesting from vendor, through internal approval, through external approval, and through release of the submittal.
  • Processes and track purchases.
  • Assist in processing and maintaining subcontracts.
  • Sets up projects on project management software.
  • Procures and processes Operation and Maintenance Manuals, Attic Stock, Commissioning Documentation, and As-Builts.
  • Writes, edits, and/or transcribes general correspondence and/or project documents.  This may include letters, inquiry packages, change orders, purchase orders, contract agreements, etc.
  • Interfaces with both internal and external individuals involved in the projects, such as project team members, general contractors, subcontractors, and vendors.  Maintains ongoing communication related to project, responds to inquiries, seeks information and provides information as necessary to ensure the smooth administration of each project.
  • May participate in or coordinate special assignments related to project administration in order to improve operational efficiencies. 
  • Maintains and fosters positive sub-contractor and vendor relationships.
Job Scope: 
This position will provide administrative support for the project managers designated as direct reports.
Education & Experience:
  • Minimum High School graduate or equivalency (GED) required.
  • Business School or general business administration coursework may be beneficial.
  • Minimum of two (2) years administrative support.
  • Minimum of two (2) years of experience with document control processes. 
 Knowledge, skills, and abilities:
  • Must be proficient in MS Word, Excel; proficiency with Bluebeam (preferred) or Adobe.
  • Understanding of various construction documents and how to properly execute them.
  • Knowledge of the construction process, the role of key stakeholders in the process, etc.
  • Sharp attention to detail and superior organizational skills.
  • Experience with web based project management systems.
  • Ability to adapt to shifting priorities – flexibility.
  • Keen sense of urgency and proven ability to meet or exceed deadlines and commitments.
  • Ability to communicate effectively, both verbally and in writing.
  • Ability to develop and foster effective professional relationships, internally and externally
  • Good organizational skills, attention to details is important.
Physical and/or travel demands:  
  • Work will be done in a typical office environment that will enable comfortable sitting, but may also require sitting, standing, occasional bending, reaching, stooping, and lifting light objects.   

Benefits and Compensation:

  • The range for this position has been established at $23.30 to $32.92 and is US Engineering’s good faith and reasonable estimate at the time of the posting. The compensation offered to the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty, and training.
  • Your total compensation will go beyond the number on your paycheck. Team members are eligible for a year-end bonus based on company and/or individual performance as well as paid time off. An industry-leading benefits package including health, dental, and vision plans, and retirement.
