Office Coordinator

Pay Rate: $28.79/hr Location: Mason, OH – 100% Onsite, Monday–Friday Schedule: 40 hours/week Start Date: ASAP Assignment Length: 3–6 months, pending full-time position Employment Type: Temporary; potential Temp-to-Perm Positions Available: 1 Brand: Shared Services Experience Required: 5+ years

Job Summary

We are seeking an experienced Office Coordinator to organize, coordinate, and implement office processes and procedures to ensure organizational effectiveness and efficiency. This position will support office services, supply and inventory management, conference room/AV support, mail and print services, food service operations, and general administrative activities.

The ideal candidate is an energetic, highly organized professional who can wear multiple hats, work independently, and handle a wide range of administrative and executive support responsibilities in a diverse office environment.

Key Responsibilities Conference Center Support
  • Coordinate audio-visual equipment and prepare facilities for meetings, including Skype, WebEx, teleconferences, and VTC.
  • Prepare coffee and snacks as needed.
  • Coordinate meeting room reservations and provide onsite meeting support.
  • Support event planning and catering coordination.
Office & Food Supply Management
  • Establish and maintain appropriate inventory levels for office supplies, water, coffee, and kitchen supplies.
  • Manage, maintain, clean, and organize supply stations and storage areas.
  • Refill and oversee coffee, Nespresso, and water equipment.
  • Coordinate the acquisition of conference room supplies such as snacks, pens, notepads, and flip charts.
  • Support food service operations and plant/facility maintenance oversight.
Office Support Services
  • Assist with special projects, including employee desk moves and equipment relocations.
  • Create and maintain office phone lists and desk assignments.
  • Track employee/personnel moves.
  • Manage locker assignments.
  • Handle shipping and printing requests.
  • Process business card and gift card orders.
  • Prepare business correspondence, agendas, and presentations using Microsoft Office.
  • Coordinate meetings, events, reservations, and catering orders.
Administrative & Executive Support
  • Provide general administrative support to employees and leadership.
  • Support executive visits and special office projects.
  • Assist with space adjustments and office setup requirements.
  • Take ownership of assigned administrative and executive assistant tasks.
  • Coordinate with departments and operating units to resolve day-to-day administrative issues.
General / Communication
  • Identify, evaluate, research, and recommend solutions to office-services-related issues.
  • Assist with administrative management, directory maintenance, logistics, equipment, and storage.
  • Communicate effectively with employees, vendors, and internal departments.
  • Actively participate in the Emergency Fire Warden Safety Program for campus locations.
Required Skills & Experience
  • 5+ years of office administration, office coordination, or related experience.
  • Event planning and reservation management experience.
  • Experience with office and kitchen supply inventory management.
  • Conference room and meeting support experience.
  • Experience coordinating food service, coffee, water, and office facilities.
  • Strong organizational and multitasking skills.
  • Ability to manage multiple priorities and special projects independently.
  • Strong Microsoft Office skills.
  • Excellent written and verbal communication skills.

  • Ability to work effectively with employees, executives, vendors, and multiple departments.
Additional Requirements
  • 100% onsite in Mason, OH – 5 days per week.
  • OIG/GSA and background screenings required.
  • Company equipment must be returned upon completion; a $2,000 missing equipment fee may apply if equipment is not returned.
  • Assignment is expected to last 3–6 months, with potential conversion to full-time pending removal of the hiring freeze.
