Job Description

POSITION SUMMARY The Executive Coordinator acts as an executive assistant to the president, an office coordinator and an intern supervisor. The position requires excellent time management skills, attention to detail, and the ability to communicate effectively across different mediums.

PRIMARY RESPONSIBILITIES

Executive Assistant (40%) Manage the president's calendar, travel logistics, and speaking arrangements as well as all of the president's written and phone correspondence, including internal and external requests and communications Draft routine correspondence, meeting minutes, edit and manage blog posts Manage Board relations, including scheduling and managing Board Meeting logistics (gathering and transmitting staff reports, hotel contracts and invoice, catering, PSAV, meeting agendas, guest lists, travel logistics, online meetings, reimbursement requests, etc.) and disseminating information from the National Action Center. Attend Board Meeting weekends and take meeting minutes Support executive event planning and logistics management for NOW's annual conference and summits Coordinate and facilitate nominating, election and other committees (scheduling meetings, reporting on applications for officer elections, taking meeting notes and disseminating follow up information, etc.) Manage speaker and honoree logistics--invitations, tracking, headshots and bios, travel and hotel accommodations Give semi-regular reports to staff, create tick-tock for staff duties, and facilitate staff at conference General facilitation for Event Planner/Production Company Coordinate all materials such as informational handouts, promotional stickers, flyers etc.

Internship Supervisor (25%) Manage the NOW internship program and/or temporary employees including engagement, recruitment, vetting/interviewing, training, administrative supervision, and retention Revises internship postings each cycle, reviews all applications, conducts preliminary interviews and makes recommendations to department heads, Prepares internship acceptance letters and answers pre-arrival questions. Administrative supervision of 4-6 interns or temporary workers each cycle (three cycles per year). Each intern also has a departmental supervisor who manages their work projects. Onboards interns, organizes brown bag lunch learning opportunities with department heads/senior staff, and organizes other DC experiences. Coordinate and supervise posts on the NOW Feminist Book Club Facebook page, including training new interns/employees on how to manage the book club, reviewing suggested new content, monitoring comments, ensuring timeline is followed and managing logistics of any book giveaways or other promotions

Office Coordinator (35%) Meet regularly with the administrative team (including the Chief of Staff and the Coordinator to the Vice President's Office), to coordinate seamless execution of office management tasks. Partner with the Coordinator of the Vice President's Office to provide training and support as needed Create agendas for and take notes during weekly staff meeting Regular in-office support, including purchasing supplies, sorting mail, managing deliveries, assisting with shipments, and other office management tasks. Engage in small scale data entry with NOW's CRM system/membership database Organize both in and out of office staff activities such as retirement parties, holiday potlucks, and birthday celebrations Assist the Chief of Staff with the interview process for new hires Research NOW administrative policy manual to ensure that administrative functions follow NOW procedures.

Qualifications

KNOWLEDGE AND SKILLS REQUIRED 2-3 years of experience (can be a combination of professional work experience and internship experience) Excellent oral and written communication skills Proficiency in Microsoft Office Suite, specifically Outlook and Calendar Skill in juggling multiple projects, ensuring that the priorities projects are completed first, and following up on all non-priority projects Confident to approach and tackle all tasks, even when it's something unfamiliar Diplomatic and polite when communicating with others Passion for women's rights and intersectional feminism Ability to work well with diverse individuals across age, race, socio-economic, ability, sexual orientation, gender identity and other line

WORK ENVIRONMENT/PHYSICAL REQUIREMENTS This position is largely sedentary in nature however one must possess the ability to speak, hear, and write as well as the ability to use a computer and related software programs, and lift up to 20 lbs.
