Job description

Executive Assistant

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive, high-level administrative support. In this role, you will act as the primary point of contact and operational gatekeeper for internal and external stakeholders. The ideal candidate thrives in a fast-paced environment, possesses strong critical thinking skills, and can seamlessly manage multiple moving priorities.

Key Responsibilities
  • Calendar & Schedule Management
  • Optimize executive calendars by proactively scheduling, prioritizing, and vetting all meeting requests.
  • Resolve scheduling conflicts independently and dynamically adjust agendas based on shifting business demands.
  • Provide daily briefings and preparation materials to ensure the executive is organized for upcoming engagements
  • Communication & Gatekeeping
  • Serve as the primary liaison between executive leadership, board members, employees, clients, and vendors.
  • Filter incoming communications including phone calls, emails, and physical mail to shield executive time.
  • Draft professional correspondence, memos, agendas, presentations, and corporate documents on behalf of leadership.
  • Logistics & Operations
  • Track business expenses and reconcile weekly or monthly credit card statements and expense reports.
  • Help organize corporate events, leadership retreats, offsite workshops, and meetings.
  • Project & Information Management
  • Maintain strict confidentiality regarding sensitive company data, financial records, and personnel matters.
  • Track key objectives and project deadlines to ensure deliverables from various departments stay on schedule.
Qualifications & Skills

Required Experience

  • Minimum 3–5 years of experience as an Executive Assistant, Personal Assistant, or similar high-level support role.
  • Proven track record of supporting C-suite or senior organizational executives.

Technical Skills

  • Advanced software proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or Google Workspace.
  • Remote tool literacy including Zoom, Slack, Microsoft Teams, and modern project management software

  • Exceptional time-management capabilities with an innate ability to prioritize tasks under pressure.
  • Flawless written communication and proofreading skills.
