Job description:

Position Overview
The Event Coordinator is responsible for creating, planning, and running fun, family-focused in-house events for Ocean States recreational, Preschool, and Competetive programs. These events are designed to build community, celebrate families, and create memorable experiences for students and parents.
Events may include seasonal celebrations such as Easter Egg Hunts, Mother’s Day Brunch, Father’s Day events, Halloween parties, holiday parties, themed open gyms, and family fun nights.
The Event Planner ensures that events are well organized, engaging for children, and aligned with the welcoming and positive culture of the gym.
Key Responsibilities
Event Planning
  • Plan and coordinate seasonal and family-focused events for recreational program families.
  • Develop creative themes and activities appropriate for children of different ages.
  • Create event timelines, activity schedules, and setup plans.
Event Execution
  • Oversee event setup, decorations, and activity stations.
  • Coordinate games, crafts, and activities during events.
  • Ensure events run smoothly and families feel welcomed and engaged.
Family Experience
  • Create events that encourage family participation and community building.
  • Communicate event details clearly to parents and participants.
  • Provide a fun, organized, and safe environment for children.
Staff & Volunteer Coordination
  • Coordinate with coaches and staff to help run activity stations or supervise areas.
  • Provide clear instructions for staff or volunteers assisting with events.
Supplies & Setup
  • Plan decorations, materials, and supplies needed for each event.
