Position Overview
The Office Manager acts as the glue for the rPlus team by ensuring the office operates efficiently, professionally, and consistently. This role owns the systems, processes, vendor relationships, facilities coordination, asset tracking, purchasing, budgets, and administrative support needed to create a well-run workplace experience. This role requires a proactive, process-oriented mindset and the ability to balance day-to-day responsiveness with thoughtful planning, organization, and follow-through.
General Responsibilities
Office Operations, Assets amp; Process Management
  • Develop, maintain, and improve office procedures, workflows, and standards to ensure the office runs efficiently and consistently.
  • Serve as the central point of contact for office-related needs, questions, escalations, and cross-functional coordination.
  • Manage office-related company assets, including company vehicles, laptops, access cards, equipment, and other assigned resources, in partnership with IT and other internal stakeholders as appropriate.
  • Maintain accurate records for office assets, equipment, vehicle use, service history, assignments, documentation, and related follow-up items.
Facilities, Leases, Vendors amp; Budgets
  • Coordinate facilities maintenance, repairs, inspections, office improvements, and property-related needs with building/property management, internal stakeholders, and service providers.
  • Manage relationships with office vendors and service providers, including janitorial, maintenance, food/beverage, supplies, equipment, furniture, swag, and other operational partners.
  • Assist with lease administration, landlord communication, building access, parking, office policies, service schedules, contracts, and related documentation.
  • Build, manage, and track budgets for office supplies, food and beverage, swag, and other office-related purchases; review invoices, monitor spending trends, and identify cost-effective and waste reduction solutions.
Executive, Administrative amp; Documentation Support
  • Provide administrative support to executive leadership as needed, including travel booking, meeting coordination, documentation, filing, and follow-up tracking.
  • Manage hotel corporate rates, room blocks, lodging logistics, and related travel support for company meetings, visitors, employees, and events.
  • Support document handling, scanning, filing, records organization, invoice processing, and other administrative workflows.
  • Assist with onboarding logistics, employee office and desk setup, visitor logistics, and other internal coordination needs.
Meetings, Events amp; Office Experience
  • Coordinate logistics and communications for board meetings, onsite and off-site meetings and events, and other company gatherings.
  • Manage room setup, catering coordination, supply needs, hospitality details, swag needs, and post-event follow-up for office meetings and events.
  • Ensure shared spaces, conference rooms, kitchen areas, supply areas, and visitor-facing spaces remain functional, organized, stocked, and professional.
  • Support a professional, welcoming office environment through proactive planning, organization, communication, and follow-through.
Skill Requirements
  • 3-5 years of office management, facilities coordination, administrative operations, or related experience; Bachelor’s degree preferred.
  • Strong proficiency in Microsoft Office Suite.
  • Highly organized and detail-oriented, with the ability to manage competing priorities, timelines, vendors, and follow-up items independently.
  • Strong written, verbal, organizational, and interpersonal communication skills, with sound judgment and professionalism.
  • Demonstrated ability to build practical processes, maintain accurate records, track budgets, and improve operational efficiency.
  • Service-oriented and dependable, with a proactive approach to solving problems and supporting employees, visitors, vendors, and leadership.
  • Ability to handle confidential information, changing priorities, and occasional time-sensitive requests with discretion and flexibility.
