Job description

Full Charge Bookkeeper and HR coordinator

Job Summary

Full Charge Bookkeeper and HR coordinator will act as the key staff member for the proper functioning of both the human resources and financial activities of the American Boat & Yacht Council. This position reports directly to the President. A successful candidate will have a working knowledge of QuickBooks online, Paylocity (or similar) payroll platform and learn ABYC’s association management software. This position is responsible for the accurate exchange of information between all associated software platforms.

Responsibilities:

Financial Management (50%)

·       Maintain an easily auditable and transparent infrastructure for the Council and Foundation.

·       Coordinate day-to-day financial functions.

·       Work with the outsourced financial service to provide:

o   Monthly, on time reporting to the President

o   Quarterly, on time reporting to the Board of Directors Finance Committee

o   Assistance with audits as they occur

o   Mid-year and year-end reporting for the Executive Committee and full board of directors

o   Create and manage an accurate annual budget.

·       Set up new vendor files and maintain W-9 vendor information.

·       Manage accounts payable to ensure timely and accurate required payments, including comparing account balances and proposed expenditures to budgeted and historical spending, working to improve the payment and budgeting process, and responding to vendor inquiries regarding payment.

·       Work with the Standards and Compliance department to ensure compliance with Federal Grants as well as vendor payment and Council reimbursement.

·       Monitor and track expenditures and transactions

·       Maintain accurate, timely, and complete monthly employee expense reports.

·       Ensure all tax (property, UBIT, Charitable Foundation etc.) is up to date.

Human Resources (30%)

Coordinate and carry out the day-to-day HR functions of the Council and the Foundation including the management of the outsourced payroll/HR service including:

·       Maintain the employee handbook, HR policies and procedures

·       Manage both the onboarding and termination processes

o   Via the outsourced payroll/HR service:

o   Payroll, payroll taxes and reports

o   Track and convey all benefits to the affected employees

o   Annually research and provide input for a decision on renewable benefits

o   Coordinate all enrollment in benefit programs

·       Manage the company 401K and participation.

·       Maintain accurate employee records.

 Building (10%)

·       Schedule contractors for maintenance and repairs as needed

Administrative (10%)

·       Complete expense reports

·       Coordinate the ABYC Board calendar (e.g. ExCom, Finance, Executive Board)
