This is a full-time position working 40 hours a week, Monday-Friday 8:00am - 5:00pm.
POSITION SUMMARY:
The primary function of this position is to provide a safe and secure environment for our employees, visitors, and members by managing corporate office lobby traffic, conducting regular site inspections, monitoring security and camera systems, and assisting the Physical Security Manager with company security policies and initiatives.
ESSENTIAL FUNCTIONS:
  • Greet, receive, log and announce visitors, members and guests to the Credit Union building as needed. Issue visitor badges and maintain visitor log per procedure.
  • Maintain confidentiality in all Credit Union, member and employee matters.
  • Present a positive image of the Credit Union to members and visitors through a professional appearance and courteous attitude.
  • Maintain orderly appearance in reception areas.
  • Sign for incoming deliveries (UPS, FedEx, USPS, inner-office courier, etc.) and log them in for tracking. Notify individuals of packages received and deliver USPS to retail team for processing.
  • Responsible for key inventory and management on each floor of the site.
  • Ensuring that personnel on-site are well trained with all aspects of physical security and life safety. Schedule and execute annual fire drills
  • Complete monthly elevator testing.
  • Provide backup of the physical security systems including cameras, servers and branch panels.
  • Conduct regular property inspections, meticulously documenting findings, adhering to established expectations, and promptly reporting any issues.
    • In person patrols and via camera systems
  • Assist with making employee badges, managing badge supplies and distributing to branches as needed.
  • Assist with tickets for the site.
  • Manages and fills all supplies for onsite kitchens, copiers, printers and postage machines.
  • Manages postage machines to ensure they are working and have adequate postage loaded.
  • For assigned tasks/projects, be accountable for the success of task/project results, set dates for dialogs and meetings as needed.
  • Assist with company vehicle keys & tracking.
  • Complete a minimum number of hours of continuing education per year to maintain proficiency and stay updated on best practices.
  • Complete all other duties as assigned.

Qualifications
Education/Certification:
  • High school diploma or equivalent.
  • College degree preferred.

Required Knowledge:
  • Excellent people skills required.

Experience Required:
  • 3-5 years of basic reception or secretarial experience preferred.
  • 1-2 years of executive secretary or administrative support experience preferred.

HARD/TECHNICAL Skills/Abilities:
  • Excellent people skills required.
  • Good oral and written communication skills.
  • Good organizational skills.
  • Proficient and solid computer skills and abilities including, but not limited to, ms office suite.
