Job description

American Conservation Experience (ACE) is a dynamic non-profit organization dedicated to providing rewarding environmental service opportunities that harness the idealism and energy of a volunteer labor force to help restore America's public lands. ACE has a national reputation for providing exceptional training and support to enable crews to safely and economically implement technically complex and physically demanding conservation projects for the US Forest Service, BLM, National Park Service, USFWS and numerous state and local land management partners.

Job Title: Logistics Coordinator

Location: Flagstaff, Arizona. This is an on-site position which may have opportunities for limited local telework.
Department/Division: CREW, Southwest Division
Status: Regular, Full-Time, Salaried (Exempt) - The scope and schedule of this position may shift according to seasonal work volume.

Schedule/Hours: 40 hours/week, Monday - Friday. Flexible hours, expected to be on duty during ACE Core Business Hours of 12:00 pm - 5:00 pm Eastern time). Some adjustment of hours is expected to accommodate specific projects and program needs. Some evening and weekend hours may be occasionally required.

Program Summary:
ACEโ€™s Southwest Division leads a group of motivated young adults on a wide range of natural resource management programs throughout public lands in Arizona and all of the American Southwest. Based in Flagstaff, Arizona, field projects include fuels reduction and thinning, invasive species treatment, native plant restoration, trail construction and maintenance, and range in location throughout the Southwest from the depths of the Grand Canyon to the alpine pine forest of the Southern Rockies to the wild Saguaro forests of the Sonoran Desert and Beyond!

Position Summary:
The Logistics Coordinator position plays a vital role in supporting field operations by managing resource distribution, safety supplies inventory, and administrative tracking. Key responsibilities include coordinating weekly/bi-weekly menu and food preparation and packing for 10-12 field crews, and overseeing the rig-up and de-rig processes to ensure teams are fully equipped for success. Additionally, this role collaborates closely with the Director and Assistant Director of Member Programs to streamline invoicing and accomplishment reporting.

Essential Functions and Responsibilities:
Crew Provisions:
The Logistics Coordinator is responsible for ensuring the meal packing program for the division operates smoothly. The Logistics Coordinator oversees all aspects of planning, purchasing, and providing meal provisions for ACE crews working in the field. This includes:
  • Collaborating with team members to develop nutritious meal plans that are applicable for up to 12 crews based in front country or spike camp situations,
  • Planning meals that are appropriate for the crewโ€™s dietary needs and the projectโ€™s location, camp style, and weather or seasonal considerations,
  • Purchasing bulk items and ingredients to facilitate these meal plans,
  • Purchasing food within the budget parameters seeking the highest value for each expenditure,
  • Tracking food purchase costs, waste, and crew member satisfaction with meals,
  • Packing coolers and pantry bins with ingredients and recipes to accompany the crews for multiple weeks of field work,
  • Keeping the food bay clean and organized, while managing safe storage of perishable and non-perishable food,
  • Supporting the maintenance and inventory of cook sets and camp kitchen equipment,
  • As needed, supporting Crew Leaders who are purchasing additional provisions for the crew while out on project.
Facilities:
  • The Logistics Coordinator will take a leadership role in maintaining the office and housing. This may include:
  • Maintaining cleaning supplies for the office and warehouse,
  • Working with Facilities staff to maintain supplies and provisions in member housing, such as ordering of bulk supplies, pickup, and drop-off at the house,
  • Leading Super Scrub cleaning events when assigned,
  • Responding to minor repair and maintenance needs at housing and office locations,
  • Reporting or escalating concerns with housing cleanliness and member conduct,
  • Supporting the Member Management team with assigning beds/rooms to crew members,
  • Helping maintain tent inventory and camp equipment,
  • Supporting routine maintenance and organization of warehouse,
  • Assisting the team in making alternate housing plans in the event of illness outbreaks, pests, natural disasters, and other events.
This position also assists the team with Orientation training for members, additional logistics, office paperwork, office maintenance, and other duties as assigned.
Depending on the skills and interests of the candidate, further participation in crew member technical skills training and mentorship is welcomed.
The Logistics Coordinator must enforce the use of appropriate safety procedures in all tasks and maintain a positive, constructive work environment conducive to team dynamics. Timely, effective communication with crews, colleagues, and supervisors is essential.
Required Experience and Qualifications:
  • Bachelor's degree and one year of related professional experience OR an equivalent combination of education and experience.
  • 1 or more years of experience working in logistics, fleet, and facilities management, or 2+ years developing expertise in one of these areas with interest and ability to learn the necessary skills for the other areas, preferably within a Conservation Corps or similar organization.
  • Must secure First aid/CPR certification within 30 - 90 days of employment and maintain certification.
  • Working knowledge of young adult development, team-building and motivational techniques.
  • Ability to understand and follow ACE systems and processes including key responsibilities of crew leaders.
  • Computer skills required including professional email etiquette and intermediate knowledge of Google suite or other word processing and spreadsheet programs.
  • Must be flexible and possess a strong work ethic.
  • Ability to maintain a positive, constructive work environment conducive to team performance, maintaining effective working relationships with coworkers and supervisors.
  • Ability to perform work under pressure in a fast-paced environment, manage multiple concurrent responsibilities, and meet deadlines.
  • Ability to adapt to the surrounding work environment and conditions that can change frequently.
  • Ability to analyze and resolve complex issues.
  • Ability to receive and provide constructive feedback.

Physical Demands, Work Environment and Working Conditions
  • Physical Demands: Requires frequent sitting, standing, walking, lifting, carrying, using hands to handle or feel, reaching with hands and arms, talking and hearing. Manual dexterity required for use of tools, computer keyboard/mouse and other office equipment. Required to stoop, kneel, climb stairs, and/or crouch.
  • Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus.
  • Weight Lifted or Force Exerted: Frequently moves up to 25 pounds, ability to move up to 50 pounds.
  • Environmental: Outdoor and indoor conditions. Work environment conditions can change frequently.
  • Noise Environment: Moderate to high noise such as gas-powered chainsaws and other hand and power tools.
  • Travel: This position requires infrequent domestic travel.
Compensation (Grade 2): $49,000 - $52,000 starting annualized salary. Compensation may be adjusted based on seasonal work volume and project needs.
Medical/Health Benefits: ACE offers competitive medical and ancillary plans (health, mental health, dental, vision, flexible spending accounts, and other supplemental benefits). ACE Staff members are also eligible to participate in ACE's 403b retirement plan with a 3% employer contribution.
Holidays, Vacation, and Sick Time: As a full-time ACE staff member, you will be eligible to accrue up to 80 hours of paid vacation time annually during your first two years of continuous employment, then it increases to 120 hours annually. Additionally, ACE observes 13 paid annual holidays (floating holiday flexibility) and provides 10 days (or 80 hours) of paid sick time annually.
