Position Summary:
The Tutoring Coordinator manages administrative duties and day to day coordination of tutoring operations. The Coordinator also offers limited tutoring within the Writing Center (WC). The Coordinator supports the Associate Director, Tutoring Services, Assistant Director of the Math Center, and the Senior Director of the Writing Center, with responsibilities including managing tutoring schedules, hiring paperwork, student payroll, position-appropriate space management, and providing audits of tutoring record keeping and attendance. The Coordinator also manages schedules and other operational processes necessary for the efficient functioning of tutoring services.
This is a 10-month position that generally spans August 1 through May 31 each year; actual start and end dates may vary slightly based on payroll schedules. Working hours may vary based on the needs of the centers; typically 10:00 a.m.- 6:00 p.m. with earlier hours possible on Fridays. The schedule includes10 weekly hours staffing front desk in The Learners' Studio (TLS) to be conducted in late afternoon/evening. Five weekly hours of Writing Center tutoring may also be applied at the discretion of the Senior Director of the Writing Center. Remaining hours to be spent in shared office space addressing additional duties described below.

Duties and Responsibilities:
Staff front desk of The Learners' Studio
  • Match arriving tutees with their tutors
  • Ensure sessions begin and end on time
  • Ensure tutors are arriving for shifts on time
  • Provide low-level space management support such as:
  • Remind occupants of tutoring spaces about professional conduct standards outlined in the peer tutor manual (timeliness, keeping conversations professional, headphone use, etc.)
  • Alert center directors when space management issues need to be escalated due to persistence or are of a more serious nature
  • Assist tutees in scheduling future appointments
  • Assign walk-ins to available tutors

Administrative Duties
  • Manage scheduling platforms in tandem with directors: Block tutor availability in the event that someone calls in sick or with a conflict; Assist other center directors and supervisors in locating necessary information in the WCOnline system
  • Update WCO how-to materials (hand-outs and manuals) when interface changes.
  • Manage tutor hiring process and student payroll for TLS, WC, and Athletics tutoring
  • Perform audits of WCOnline reports to ensure hours match those entered in automated time tracking system
  • Track tutor training attendance and send reminders and RSVP forms for training events
  • Keep rosters of Varsity Student-Athletes members up to date
  • Ensure client report forms have been filled out for all appointments

Semester Scheduling
  • Create and input semester tutoring schedules and manage day-to-day scheduling needs of TLS, WC, CSP (Center for Speaking and Presentation), and Athletics tutoring schedules in WCOnline.

Attending and Promoting Events
  • Attend promotional events including Freshman Orientation Resource Fair, College Resource Fairs, ASPD class visits, and general class visits as needed. Handle special event planning such as Peer Tutor of the Year Awards.
  • Create promotional materials such as monthly event reminder flyers for display in tutoring spaces.

Writing Center Support
  • Conduct 5 weekly hours of Writing Center tutoring
  • Cover writing tutoring shifts during peak times or when a tutor calls out sick

Minimum Qualifications:
Education Minimym Requirements
  • Bachelor's degree required

Job Knowledge & Work Experience Minimum Requirements
  • Aptitude for managing scheduling software
  • Minimum one year administrative or operations experience required
  • Tutoring or mentoring experience at the college level
  • Experience working with diverse populations

Work Skills Minimum Requirements : (e.g., written and verbal communication skills)
  • Demonstrated ability to work as an advisor or tutor preferred
  • Ability to effectively manage multiple projects in a fast paced environment. Ability to analyze and solve problems and exercise good judgement
  • Outstanding interpersonal skills with the ability to establish positive and respectful working relationships with students, faculty and staff
  • Excellent written and verbal communication skills
  • Ability to maintain strict confidentiality of all constituents
  • Commitment to timeliness
  • Attention to detail

Preferred Qualifications:
Prefered Education
  • MA/MFA in English, Creative Writing, or a related field

Prefered Work Skills
  • WCOnline software familiarity/expertise
  • Writing Tutor experience 1+ years
  • Hospitality experience
