Pay: $20.00 - $22.00/hr. DOE.  

 

About Capitol:  Capitol Distributing is the largest convenience wholesale distributor in Idaho. Founded in 1983, Capitol delivers to retailers across the Western United States from its 300,000 square foot distribution center in Caldwell, Idaho.

The Receiving Specialist plays a key role in keeping warehouse receiving operations accurate, organized, and running efficiently. The role is responsible for coordinating incoming shipments, checking in drivers, verifying purchase orders and receiving documentation, maintaining accurate system records, and resolving discrepancies in partnership with Procurement, Accounts Payable, carriers, and warehouse teams. The ideal candidate is detail-oriented, organized, comfortable working with computer systems and documentation, and able to communicate effectively in a fast-paced warehouse environment.

Schedule: Full-time.
Monday - Thursday 5:00 am - 1:30 pm. 
Sundays 7:00 am - 3:30 pm.
Duties/Responsibilities: 

  • Verify packing slips, quantities, item numbers, and other receiving documentation against purchase orders to ensure accuracy.
  • Receive and accurately document incoming shipments in accordance with established procedures and company standards.
  • Maintain accurate and organized receiving records, documentation, and related files.
  • Coordinate carrier schedules and shipments with customers, carriers, and internal departments to support efficient warehouse operations.
  • Manage the driver check-in process and provide appropriate direction and assistance to incoming carriers.
  • Process and document payments received from drivers for applicable unloading fees in accordance with company procedures.
  • Support daily Warehouse Receiving operations and assist in maintaining an efficient and organized receiving process.
  • Review of receiving and shipment documentation for completeness, accuracy, and compliance with company Standard Operating Procedures (SOPs).
  • Proactively identify and communicate missing, incomplete, or inaccurate documentation to department leaders and the Procurement team for resolution.
  • Research and reconcile receiving documentation in collaboration with Accounts Payable to support accurate invoice processing and payment.
  • Maintain accurate information within internal systems and ensure receiving transactions are entered timely and accurately.
  • Prepare and complete daily, weekly, monthly, and annual Key Performance Indicator (KPI) reports as required.
  • Communicate effectively with warehouse personnel, drivers, customers, Procurement, Accounts Payable, and other internal teams to resolve receiving and documentation issues.
     

 Skills/Qualifications:

  • High school diploma or equivalent required.
  • 2+ years of experience in warehouse administration, receiving, logistics, inventory control, shipping/receiving, or a related administrative role preferred.
  • Experience working with purchase orders, packing slips, invoices, receiving documentation, and data entry preferred.
  • Experience communicating with drivers, carriers, vendors, and internal departments in a professional manner.
  • Experience using computer systems and Microsoft Office applications, with the ability to accurately enter, maintain, and retrieve information.
  • Experience with warehouse management, inventory, or ERP systems is preferred.
  • Effective verbal and written communication.
  • Bilingual a plus.

Working Conditions: 

  • Full-time, on-site position in a fast-paced warehouse environment requiring a high level of accuracy, attention to detail, and effective time management.
  • Work is primarily performed in an office setting within the warehouse, with periodic work on the warehouse floor and in the Transportation Yard.
  • Regular communication and coordination with employees, drivers, carriers, customers, and internal departments through in-person interactions, telephone, radio, and email.
  • Work may require exposure to varying warehouse temperatures and conditions for limited periods of time.
  • Ability to safely lift and move materials weighing up to 50 pounds, as required by business operations.
  • Position requires the ability to frequently stand, walk, bend, kneel, reach, and stretch as necessary to perform essential job functions.
  • Employees are expected to follow all applicable safety procedures, company policies, and warehouse requirements while performing job duties.
