Job description

Position Title: Business Systems Administrator / RevOps Systems & Integration Manager

Location: 100% Remote (U.S.)

Employment Type: Full-Time, Direct Hire

Compensation: $75,000 - $115,000 base, depending on experience

Reports To: Operations and Finance Leadership

Position Overview

Our client is a rapidly growing commercial energy engineering solutions company that helps organizations improve building performance, manage utility information, and carry out practical sustainability initiatives. As the company adds enterprise-grade platforms across finance, sales, project delivery, utility management, and collaboration, it is seeking a Business Systems Administrator / RevOps Systems Manager to own the systems connecting those functions.

This individual will serve as the internal architect and primary administrator for NetSuite, HubSpot, EnergyCAP, Microsoft 365, and Trello. The role will define how information moves between platforms, automate manual workflows, maintain reliable data, and make sure outside consultants deliver solutions that fit the business.

This is a business systems and operations technology role - not a traditional help-desk or infrastructure position. It is well suited to someone who enjoys creating structure, translating operational needs into scalable systems, and taking ownership in a fast-moving, highly autonomous environment.

Key Responsibilities

Business Systems Ownership

• Serve as the primary administrator and internal architect for NetSuite, HubSpot, EnergyCAP, Microsoft 365, and Trello.

• Configure workflows, approvals, permissions, data structures, pipelines, reporting, and operating standards across the company’s core platforms.

• Develop and maintain a practical systems roadmap that supports growth without introducing unnecessary complexity.

• Evaluate system requests, identify the underlying business need, and recommend scalable solutions.

Systems Integration and Workflow Automation

• Design and maintain integrations connecting sales, project delivery, utility data, document management, and billing workflows.

• Build reliable data flows between HubSpot and NetSuite; Trello and NetSuite; EnergyCAP and NetSuite; SharePoint and NetSuite; and Teams and HubSpot.

• Automate client onboarding, project creation, sales-to-operations handoffs, rebate workflows, utility bill processing, reporting, notifications, approvals, and data validation.

• Use native platform tools, middleware, and API-based integrations where appropriate, with clear monitoring and ownership for failures or exceptions.

Consultant and Vendor Management

• Translate business requirements into clear technical scopes for NetSuite developers, HubSpot consultants, EnergyCAP implementation teams, Microsoft 365 specialists, and integration vendors.

• Review proposed solutions, challenge unnecessary customization or over-engineering, and confirm that deliverables meet operational requirements.

• Coordinate testing, issue resolution, rollout, and knowledge transfer so the company retains internal ownership of its systems.

Data Governance, Reporting, and Adoption

• Establish naming conventions, data standards, permission models, security practices, and audit-ready documentation across platforms.

• Create leadership dashboards and operational reporting that provide trustworthy visibility into sales, projects, utility activity, and financial handoffs.

• Document workflows, system configurations, standard operating procedures, and troubleshooting guidance.

• Train and support employees using NetSuite, HubSpot, EnergyCAP, SharePoint, Teams, OneDrive, and Trello, while driving consistent adoption of defined processes.

What You Bring

• 3+ years of experience in business systems administration, revenue operations, business operations, enterprise applications, or a closely related role.

• Hands-on HubSpot experience, including workflow automation, pipeline configuration, reporting, and data management.

• Experience with NetSuite administration or configuration is strongly preferred; candidates with solid NetSuite exposure and the ability to grow into deeper ownership will also be considered.

• Experience structuring and governing Microsoft 365 environments, including Teams, SharePoint, and OneDrive.

• Practical experience with workflow automation using tools such as SuiteFlow, HubSpot Operations Hub, Zapier, middleware platforms, or

API-based integrations.

• Strong understanding of data governance, process design, permissions, and cross-system reporting.

• Ability to translate business needs into system architecture, technical requirements, and executable consultant scopes.

• Strong written communication, documentation, training, and stakeholder-management skills.

• Comfort working independently and setting priorities in a fast-growth, high-autonomy environment.

Preferred Qualifications

• Advanced NetSuite administration experience, including SuiteFlow and/or SuiteScript.

• HubSpot Operations Hub experience.

• Experience with EnergyCAP, utility billing platforms, energy-services workflows, or rebate program administration.

• Experience designing Trello workflows and connecting project-management tools to CRM or ERP platforms.

• Direct experience designing, implementing, or maintaining API integrations.

• Revenue operations experience in a B2B professional services, energy services, or project-based organization.

• Experience supporting distributed or fully remote teams.
